Job Summary

The Herbert Wertheim College of Medicine is currently seeking a Coordinator of Administrative Services to join our team of professionals

Duties:

  • Coordinates special projects and fulfillment of report requests and provides administrative support with managing schedules, overseeing the planning of various events or meetings.
  • Schedules Faculty Assembly meetings
  • Keeps track of committee memberships including appointment letters, committee membership information, bylaws changes, committee charters are reviewed annually, and changes are presented to Faculty Assembly for vote.
  • Coordinates Faculty Assembly Steering Committee (FASC) meetings including taking minutes.
  • Submits and tracks all professional development travel.
  • Updates Office of Faculty Affairs (OFA) website including ensuring all material on the website are up to date.
  • Coordinates meetings between OFA, the clinical chairs and leadership in the College
  • Supports the coordination of Panther180 trainings and generates departmental reports.
  • Generates reports for Annual Faculty evaluation process including updating delineation reports, scheduling meetings with supervisors and chairs.
  • Coordinates scheduling for FIU medical students electives and interviews under the direction of Emeritus faculty.
  • Conducts thorough review of Hearing the Ovarian Whisper (HOW) award applications and connects the students with a Gynecology/Oncology program for residency.
  • Manages the integration of letters of recommendation into the Electronic Residency Application Service system. Conducts reviews of residency programs to ensure alignment with students' needs, including reviewing interview offers and facilitating communication with programs where students are waitlisted or awaiting responses
  • Assists with the selection of an awardee from the endowed scholarship by providing necessary materials and supports National Institute of Health (NIH) study sections by uploading reviews, additional materials, and coordinating meeting sessions.
  • Performs other related duties as assigned or as directed. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications

Bachelor's degree and two (2) years of office or related experience providing administrative support, or coordinating functions of an office or department.
