Position Overview:

We are seeking an experienced and highly motivated Technical Project Manager to join our Private Equity firm's Fund Administration team. This individual will be responsible for leading and managing technical projects that support the operations of the firm's fund administration activities. The role requires a combination of technical proficiency, project management skills, and a strong understanding of fund administration processes in the private equity or investment management space.
You will work closely with cross-functional teams, including fund administrators, IT, finance, compliance, and external vendors, to implement, improve, and maintain the systems and tools necessary for efficient fund operations. This is an exciting opportunity to play a critical role in supporting the growth and success of the firm by ensuring seamless project execution and system integration.

Key Responsibilities:
1. Project Management & Execution:

  • Lead the planning, coordination, and execution of technical projects supporting the fund administration team, from initiation to closure.
  • Manage project scope, timelines, resources, and budget, ensuring projects are completed on time, within budget, and to the required quality standards.
  • Collaborate with senior stakeholders (including the fund administration team, finance, and IT) to define project objectives, deliverables, and success criteria.
  • Prioritize and manage multiple concurrent projects with competing deadlines.
  • Develop detailed project plans, track progress, and provide regular status updates to key stakeholders.
  • Identify and mitigate risks to project timelines and deliverables.

2. Fund Administration Support:

  • Work closely with the fund administration team to understand business needs and challenges related to fund accounting, investor reporting, capital calls, distributions, NAV (Net Asset Value) calculations, and other fund management functions.
  • Implement technology solutions that automate and improve processes, increase efficiency, and ensure compliance with regulations.
  • Ensure data integrity and security of financial and fund-related systems, ensuring accurate reporting and reconciliation.

3. Systems Implementation & Optimization:

  • Manage the implementation and integration of third-party fund administration software (e.g., Investran, eFront, or similar systems) and internal tools.
  • Identify opportunities for process improvements or new technologies that can enhance fund administration workflows and reporting accuracy.
  • Collaborate with IT teams to ensure that technology solutions meet the needs of fund administrators and comply with industry best practices.
  • Troubleshoot and resolve any issues that arise with fund administration systems, working with both internal teams and external vendors as necessary.

4. Vendor and Stakeholder Management:

  • Build and maintain strong relationships with external vendors, service providers, and other third parties involved in fund administration processes and systems.
  • Communicate effectively with business units, providing insights and recommendations on how to optimize technology solutions.
  • Serve as the main point of contact for any technical issues or project-related inquiries from the fund administration team.

5. Documentation & Reporting:

  • Maintain comprehensive documentation for all projects, including project plans, technical specifications, user guides, and post-implementation support materials.
  • Provide regular project status reports to senior management, highlighting any potential delays or roadblocks.
  • Ensure all changes or updates to systems and processes are thoroughly documented and communicated to relevant teams.

Qualifications & Skills:
Education & Experience:

  • Bachelor's degree in Business, Finance, Information Technology, or a related field (or equivalent work experience).
  • Minimum of 5 years of experience in project management, with at least 2 years specifically supporting fund administration or private equity operations.
  • Experience working in or with a private equity firm, hedge fund, asset management company, or financial services institution is highly preferred.

Technical Skills:

  • Strong knowledge of fund administration processes and systems (e.g., Investran, eFront, Geneva, or other fund accounting software).
  • Proficiency in project management tools (e.g., Jira, Microsoft Project, Trello, Asana).
  • Familiarity with financial data systems, fund reporting tools, and data integration techniques.
  • Solid understanding of data management, system integration, and IT security principles.

Project Management & Soft Skills:

  • Strong project management skills, with the ability to manage complex projects with multiple stakeholders.
  • PMP, Scrum Master, or similar project management certification is a plus.
  • Excellent communication skills, with the ability to translate technical concepts to non-technical stakeholders.
  • Strong problem-solving abilities and analytical thinking.
  • Ability to work effectively both independently and as part of a collaborative team.
  • High attention to detail and strong organizational skills.

Preferred Experience:

  • Experience in leading software implementation or system integration projects.
  • Familiarity with regulatory compliance and reporting requirements within the private equity and financial services sectors.
  • Knowledge of financial modeling, NAV calculations, capital calls, distributions, and investor reporting processes.
