Purpose

To accurately monitor, maintain and reconcile records for all department accounts, including grants, and regularly report balances to Chair and Administrative Manager as needed. Work independently and with other staff in clearing of purchasing, reimbursement and travel requests

Responsibilities
  • Manage account activity and maintain departmental financial data, including departmental and individual faculty accounts, grant accounts, named fellowship accounts, etc., using Cognos and Microsoft Excel. Includes monthly reconciliation of said accounts, and transfer of funds between accounts and sub-accounts as needed to cover expenditures.

  • Supervise and oversee processing of electronic and paper documents for travel requests/reimbursements, payment of professional services, contracts, reimbursement and purchasing. Prepare contracts as needed.

  • Assist faculty with requests for travel authorization and faculty travel grant applications. Process VE5 documents for routing.

  • Maintain documentation of all vouchers processed on departmental accounts for reconciliation and auditing purposes until uploaded to IRS, keeping copies of all vouchers not required to be uploaded to IRS.

  • Assist Chair and Administrative Manager with departmental budget and financial projection as needed.

  • Work with PIs and COERA on post-award grant budgeting and management to ensure compliance with rules of the institution and sponsor. Assist faculty with end-of-year reports.

  • Hold the Cost Center Manager role in Workday. Report Graduate Research Assistant appointment information to HR coordinator for processing.

  • Remain current on changes in university accounting procedures and inform faculty and staff as needed. Actively communicate with COE Finance to ensure college compliance in financial matters.

  • Collect, record and process deposits coming into the department as needed.

  • Other duties as assigned.

Required Qualifications
  • Bachelor's degree in accounting or related business field.

  • Two years of experience in governmental or commercial accounting.

  • Use of standard office machines with knowledge of the operation, uses and capabilities of data processing equipment.

Relevant education and experience may be substituted as appropriate.

Preferred Qualifications
  • Five years of experience in a UT department or accounting office.

  • Familiarity with UT systems such as DEFINE, Workday, FRMS, UT Market, PointPlus, and Cognos.

Salary Range

$58,000 + depending on qualifications
