SUMMARY:

Actively manage calendars and all necessary correspondence for assigned physicians. Clerical duties include drafting communications for stakeholders, reserving conference rooms, scheduling meetings, requesting supplies, recording and editing minutes for meetings, filing, and mail. Performs other duties and assignments as required.

KEY RESULT AREAS (KRA's)

  • Actively manage schedules for assigned physicians in the preferred physician platform
  • Track and ensure timely completion of required paperwork for licenses, certifications, hospital privileges, etc.
  • Draft, review, and send communications on behalf of assigned physicians as requested
  • Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
  • Answer and respond to phone calls, communicate messages and information to the executive
  • Prioritize emails and respond when necessary
  • Coordinate travel arrangements
  • Maintain various records and documents for company executive(s)
  • Maintain a spreadsheet of call schedules, distribute and ensure accuracy in hospital and practice systems, which include but are not limited to AMiON and Telmediq
  • Prepare travel authorizations and expense reports for the physicians
  • PTO monthly report for physicians
  • Pick up mail weekly and distribute

Performs other duties and assignments as required

Requirements

KNOWLEDGE, SKILLS & ABILITIES

  • Computer Experience: intermediate to advanced proficiency in Microsoft Excel, Word, PowerPoint Office 365, Outlook, and EMR
  • Typing skills of 60 wpm and 90% accuracy
  • Excellent written and verbal communication skills
  • Time-management skills
  • Ability to pay attention to detail
  • Ability to multitask

Education and/ or Experience

  • Education equivalent to Bachelor of Science or Bachelor of Arts Required
  • Master's degree Preferred
  • Three to five years prior experience in supporting a senior executive or team Required
