Position Purpose
Under the supervision of the Director of Customer Relations and Logistics, working in partnership with the Asset and Preventive Maintenance Manager, and Facilities management, is responsible for overseeing the management, tracking, and distribution of all materials, supplies, and equipment used within the department. This includes ensuring adequate stock levels, maintaining accurate inventory records, coordinating with vendors and suppliers, and implementing systems to streamline inventory processes. The Inventory Manager will play a key role in supporting the daily operations of the facilities team and contributing to the efficient management of campus resources. By implementing an inventory management strategy this position will optimize the supply chain, reduce costs, and improve customer service. Will be customer service focused.

Required Qualifications - Education and Yrs Exp High School plus 3+ years' experience or equivalent combination of education and experience
Required Qualifications - Skills, Knowledge and Abilities

  • High school diploma or equivalent required; Associate's or Bachelor's degree in business, supply chain management, or a related field preferred.
  • Minimum of 3 years of experience in inventory management, preferably in a facilities, maintenance, or operations setting.
  • Valid driver's license and ability to qualify as a Dartmouth Approved Driver.
  • Experience with purchasing, vendor negotiations, and cost control.
  • Strong organizational skills with attention to detail and accuracy.
  • Excellent communication skills, both written and verbal.
  • Ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Proficient in Microsoft Office Suite (Excel, Word, etc.) and inventory management software.
  • Basic knowledge of safety and environmental regulations related to inventory and materials handling.
  • Must possess a personable demeanor and strong customer service skills.
  • Five-plus years' experience working in a customer service centered environment.
  • Proficient in using email, Word, and Excel software.

Preferred Qualifications

  • Knowledge in handling hazardous materials.
  • Knowledge of building construction and maintenance practices.
  • Experience working with Computerized Maintenance Management Systems (CMMS).

Key Accountabilities


Description
Inventory Management

  • Develop and maintain accurate and up-to-date inventory records for all supplies, equipment, and materials used within the Facilities Department.
  • Conduct regular inventory audits to ensure stock levels align with recorded data and identify discrepancies.
  • Track usage and consumption patterns to predict future inventory needs and adjust orders accordingly.
  • Organize inventory storage areas to optimize space, accessibility, and safety.
  • Receive and inspect deliveries for quality and quantity, documenting any discrepancies or damages.
  • Ensure that inventory items are properly tagged, labeled, and logged into the inventory management system.
  • Coordinate the distribution of materials and equipment to various departments within the Facilities team, ensuring that the necessary resources are available for maintenance and projects.
  • Oversee the ordering of supplies and materials, ensuring adequate stock levels are maintained while avoiding overstocking.
  • Manage relationships with suppliers and vendors, and delivery schedules to ensure cost-effective purchasing
  • Work closely with other facilities staff, including maintenance technicians and custodial staff, to ensure that inventory needs are met promptly.

  • Develop and maintain an inventory management system (manual or software-based), ensuring accurate tracking of items from receipt to usage.
  • Generate regular reports on inventory status, usage trends for the Director of Customer Service or relevant department leadership.
  • Develop and implement procedures for inventory control, loss prevention, and security of supplies.
