PURPOSE OF THE ROLE
As a Subcontracts Administrator and Site Support professional, you will play a pivotal role in ensuring the seamless execution of subcontracts management activities at the project level. Leveraging Worley's CRM system, you will ensure compliance with established processes, align workflows, and support project deliverables. Your responsibilities will span subcontracts administration and site team support, with a focus on driving efficient, timely, and high-quality outcomes in alignment with Worley's commitment to sustainability and operational excellence.

KEY RESPONSIBILITIES

Subcontracts Management:

Utilize Worley's CRM system to execute all aspects of subcontract administration.

Collaborate with the Subcontracts Manager to configure project-specific functionalities, templates, and workflows in the CRM system.

Serve as the first point of contact for system-related inquiries, troubleshooting, and issue resolution.

Prioritize tasks effectively, ensuring clear communication around conflicting priorities.

Site Team Support:

Provide administrative and organizational support to the site team as directed by the Site Construction Manager.

Assist in scheduling and documenting meetings, developing project forms, preparing reports, and managing other essential project documents.

Subcontract Administration:

Facilitate subcontractor pre-mobilization and pre-construction meetings, ensuring proper documentation and distribution of minutes.

Oversee compliance with established project requirements and manage subcontractor correspondence.

Administer change management, invoice processing, and documentation workflows to ensure timely completion and accuracy.

Monitor subcontractor deliverables, lead weekly progress meetings, address open items, and compile performance evaluations.

Execute close-out activities for all subcontracts in collaboration with the project team.

Education and Experience:

Academic qualifications in a relevant construction discipline.

A minimum of three to five years of experience in a field staff role within the industrial construction sector.

Proven track record of working within complex, multi-functional organizations.

Strong understanding of commercial, contractual, and financial drivers in project environments.

Technical Skills:

Proficiency in the Microsoft Office suite, including Word, Excel, and PowerPoint.

Familiarity with CRM systems or a willingness to develop expertise with Worley's CRM platform through training.

Effective written and verbal communication skills.

Behavioral Competencies:

Collaborative team player with a proactive approach to learning and problem-solving.

Confident in leading meetings and engaging in dialogue with project stakeholders.

Highly organized and adaptable, capable of thriving in fast-paced, deadline-driven settings.

Strong interpersonal skills to build and maintain effective relationships within the site and home office teams.
