Join our dynamic Global Partner Resources team as a Partner Resources Coordinator. You'll play a crucial role in supporting partner onboarding, departures, and retirements, as well as assisting with the internal partner promotion process. Your contributions will be essential in ensuring smooth transitions and maintaining the integrity of our partner operations. This role involves high interaction with partners and senior leadership, handling sensitive matters with the utmost discretion. This role offers high visibility and interaction with senior partners and firm leadership, including the Office of the Chair, Vice Chair, Executive Committee, Partnership Committee, Office of the General Counsel, and Regional Section Heads. You will be involved in projects and processes that are critical to the success of our partners and the Firm as a whole.
Duties and Accountabilities1
- Support day-to-day operations of all withdrawals from the partnership whether by resignation, retirement, mutual separation or death, both through and beyond withdrawal date including, but not limited to, cross-functional coordination with various teams (OGC, Records and Governance, Partner Compensation, Tax, Pension, Benefits, and local IT and administrative teams)
- Prepare and draft documentation related to partner departures and retirements
- Organize and ensure completion of all actions related to the Firm's partner departure protocol, including any necessary follow-up activities
- Help draft annexes and related tax communications for contract partner conversions, departures and retirements
- Update and audit the Master Former Partner List, maintain retired partner distribution lists, and manage email account setup, maintenance and shutdown with Technology and RIG teams
- Assist with the annual internal New Partner Promotion process including the communications plan, scheduling new partner candidate interviews, collating candidate materials, and handling administrative tasks
- Prepare legal agreements, contracts and related documents for partners and ensure partner information in PeopleSoft/ Workday is kept current
- Process partner changes including transfers, leaves and arrivals, and draft employment/income verification letters for partners as needed
- Generate reports and support special projects as needed
- Bachelor's/college degree preferred
- Minimum of 3 years of experience in a law firm or professional services environment
- Proficiency in PeopleSoft, Workday, Microsoft Word, Excel and PowerPoint
- Basic understanding of concepts relating to finance and human resource information systems, compensation and report generation
- Strong written and verbal communication skills; confident and credible communicator at all organizational levels
- Ability to coordinate across cross-border and cross-functional teams towards a common goal
- Strong attention to detail and exceptional organizational skills are essential
- Creative thinker who challenges the status quo, develops efficient workflow improvements, and proactively seeks solutions to enhance administrative effectiveness
- Team player, contributing to the success of the global team with strong relationship building skills
- Works well under pressure, meeting deadlines with precision
- Discreet and able to handle highly confidential information with integrity
- Willingness to learn complex partner benefits, pension plans, compensation, and tax details
- Flexibility to work outside regular business hours when needed
- Hybrid role based in New York
- Reports to the Director of Partner Resources
