Position Summary
This incumbent will serve as an integral part of the Terry College Development & Alumni relations team to reach out and engage our more than 70,000 alumni. This employee will work specifically with MBA alumni and function largely as an event planner for strategic events and initiatives to benefit the college. This incumbent will serve as the main point of contact for the Terry Travels initiative, which is designed to be an annual, week-long outreach opportunity in a designated area of the country. This will include planning and executing multiple events within the week. A large portion of this position will be dedicated to alumni relations and outreach to our graduate population of alumni. This will include creating a strategy for this outreach and executing appropriately. In addition, this employee will coordinate the events that are hosted each year in five major cities that are designed to connect the alumni in a specific area with the Terry students interning there as well as recent graduates who have moved to that area. As a member of the Terry College Development and Alumni Relations team, this incumbent will be expected to attend bi-weekly staff meeting, monthly department meetings, and campus-wide division meetings.

Duties/Responsibilities
Create opportunities for alumni engagement and student connections and serve as liaison with Undergraduate Student Services team.

  • Coordinate six annual alumni workshops
  • Partner on Back to Business event
  • Coordinate annual Student/Alumni Networking night
  • Coordinate Career Kickstarter event

    • Provide details for alumni participants including event timeline, parking, and directions
    • Create event outline and provide to alumni speakers
    • Schedule practice sessions with alumni presenters
    • Schedule practice call with alumni participants and moderator to ensure event success

Duties/Responsibilities
Coordinate all logistics for annual Terry College Homecoming Tailgate - this includes:

  • Design promotional materials to be used on website, social, etc.
  • Manage GAIL event registration, invitations, website content, etc.
  • Vendor management for printed invitation, catering, entertainment, facilities, signage, decor, football tickets, etc. by securing contracts and supplies.
  • Oversee budget estimates and actual expenditures for program activities supported by Foundation accounts and state accounts, complying with regulations and policies.

Coordinate Various Alumni Events - Young Alumni Events, Department Events, Affinity Group Events, etc. this may include:

  • Coordinating vendor services, calendar entries, registration links, creating and sending invitations, creating slides, etc. Ex: Alumni Information Session, Terry Trailblazers, Alumni Awards & Gala, Professional Women's Conference, etc.
  • Technical support including A/V and IT set-up.
  • Provide support to Senior Director and Director of Alumni Relations for alumni board and young alumni board committees and subcommittees.

Assist efforts for Graduate Alumni Relations - develop strategy to include:
  • Coordinate MBA Alumni Lunch & Learn Series

    • Manage logistics including event space, catering, and parking needs.
    • Prepare email and promotional materials for event
    • Create registration in GAIL
    • Prepare speakers for their portion of the program.
    • Work with MBA Departments to collaborate efforts.
