Role:

To perform all necessary operations duties and assist trust assistants with the daily operations of all trust account transactions and other trust personnel with specific trust operational duties, data posting, and balancing.


Essential Functions & Responsibilities:

E 40% Responsible for securities trade settlement, recording interest, stock dividends, corporate actions, daily balancing of BMO/ACM assets and exceptions. Reviews CIP cards, conducts compliance reviews, and performs OFAC/FinCen monitoring/reporting. Processes the release of checks, voided checks, posts all trust transactions and reverse transactions. Enters transactions for held away assets. Processes ACM/sweep fund trades.

E 30% Process account and asset maintenance changes. Balance fee account, prepare fee reports, monitor/create fee schedules. Monitor and post all wire transfer and ACH activity. Process distributions, contributions and client fee payments. Maturity processing, income processing, ACM processing, security setup, post receipt of securities, post delivery of securities, and daily reconciliation of BMO/Custody and ACM/sweep funds.

E 15% Is responsible Trust Income RCT reporting; reconciling miscellaneous suspense accounts, physical securities and all assets not held at BMO; monitors reversal/suppression transactions; monitors daily posting; monitors/edits name and address list on trust system; is responsible for closed account processing. Prepare vouchers for monthly invoices from Trust vendors.

E 10% Performs trust operational duties as assigned by trust officers, responds to trust clients as needed; responsible for will list maintenance and bi-annual letters. Ensure accuracy of all transaction and system processing.

N 5% Performs other duties as assigned.

To develop and maintain a positive and productive working relationship with department/branch staff.

8.

To acquire and maintain a working knowledge of regulations and bank procedures; to comply with the provisions of the Bank Secrecy Act and other laws and regulations.

9. To be willing to temporarily accept responsibility for and complete other tasks as requested by Trust Officers and Administrators.

Knowledge and Skills:


Experience

Three years to five years of similar or related experience.


Education

(1) A two-year college degree, or (2) completion of a specialized certification or licensing, or (3) completion of specialized training courses conducted by vendors, or (4) job-specific skills acquired through an apprenticeship program.


Interpersonal Skills

Work involves much personal contact with others inside and/or outside the organization for the purpose of first-level conflict resolution, building relationships, and soliciting cooperation. Discussions involve a higher degree of confidentiality and discretion, requiring diplomacy and tact in communication.


Other Skills

Excellent problem solving and communications skills; Strong analytical, organizational and time management skills; Proficiency with Microsoft Office products; proficiency with Trust Department software.


Physical Requirements

The person in this position needs to frequently move about inside the office to interact with associates or clients and access office machinery and file cabinets. The person in the position constantly operates a computer and other office productivity machinery, such as a calculator, photocopier, and printer.


Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as calculators, computers, phones, photocopier, filing cabinets and fax machines.
