The UC Irvine Department of History is a community of scholars who pride ourselves on teaching, research, professional and public service. The department is comprised of 34 senate faculty, 5-7 non senate lecturers, 45 PHD students, 5 MA students, and 290 undergraduate majors. The department houses the UCI History Project, and provides administrative support to the Religious Studies Program, Armenian Studies Program, Jewish Studies Minor and Native American and Indigenous Studies Minor.

The UC Irvine History Project provides a framework for collaboration between the UCI History Department and K-12 history-social science teachers in Orange County. The UCI History Project is dedicated to the mission of providing a space for history teachers at varying points in their career, from credential candidates to veteran teachers, to engage in high-quality professional development.


Your Role on the Team

The Program and Finance Assistant provides administrative support to the UCI History Project and Undergraduate programs serviced by the Department of History which include: The Program in Religious Studies, Program in Armenian Studies, Jewish Studies Minor, and Native American Studies Minor.

Reporting to the Department of History Manager, the Programs and Finance Assistant provides administrative support to the daily operation of the UCI History Project and Undergraduate Programs serviced by the History Department. Serving as the first point of contact, this position is responsible for providing excellent customer service, providing accurate information to students, faculty, staff, and the community on various programs and services. Primary duties include: General finance transactions (reimbursements, purchasing, honorariums, maintaining a balance sheet), Pre and post event support (room reservations, order catering, general event setup, management, and clean up), Assists in the management of websites and social media accounts.

The expected pay range for this recruitment is $28.49- $30.46 (Hourly).

Required:

  • Demonstrated ability to establish and maintain effective working relationships with faculty, staff, students, and the public.
  • Ability to speak and write clearly for effective oral and written communication.
  • Ability to compose accurately and proofread a variety of written materials (email, letters, memos etc).
  • Ability to work independently and follow through on assignments with minimal direction. Coordinate, prioritize, and organize projects to accomplish an established objective in a timely fashion.
  • Working knowledge of PC/MAC computer. General knowledge to use copy/scanner machine and related office equipment. Demonstrated knowledge of computer software applications: Office 365, Microsoft Word and Excel, Internet Browsers, Power Point. Ability to learn new software as needed.
  • Familiarity with maintaining websites and ability to create social media posts via Instagram and Facebook.
  • Ability to learn, use and train individuals with Audio Visual equipment (Video Projectors, CD/DVD players, Laptop computers) and related teaching technologies.
  • Skill in interacting with people of various social, cultural, economic, and educational backgrounds. Awareness of and sensitivity to cultural, ethnic, gender, sexual orientation and other differences.
  • Skill in performing a variety of duties and work assignments in an environment of frequent interruptions, distractions and fluctuating workload.
  • Ability to maintain confidentiality of student records and other sensitive information.
  • Ability to work in an office setting at least 3 to 4 days per week.

Preferred:

  • Familiarity with University and campus-wide policies and procedures and the Ability to correctly interpret UC Policies and documents (i.e., transcripts, course descriptions, UCI catalogue)
  • Experience working in an academic research and teaching unit.
  • Knowledge of UCI campus departments and central administrative offices, their services, and roles
  • Ability to occasionally work evenings and weekends for special events.
  • 1-3 years Previous work experience in administrative support or an equivalent combination of both education and experience
