Trauma Registrar

Under general supervision, provides data management expertise to the Program Manager for various database programs. Requires discretion and judgment to organize priorities, complete tasks and handle confidential patient information. Responsibilities include accurate case selection, data extraction and data entry from a variety of sources, as well as, assisting in report preparation, assisting in research activities, and supporting performance improvement. Reports directly to and receives supervision and overall administrative direction related to policies and procedures from the Program Manager for the Trauma, Emergency Surgery and Surgical Critical Care. Also works collaboratively with the Trauma Program administrative team (Trauma Program Nurse Director, Administrative Director and Trauma Attending Physicians).

Education
Bachelor's degree in healthcare studies preferred

Licenses and Credentials - One if not both certifications

Certified Specialist in Trauma Registry (CSTR)

Certified AIS injury Coding (CAIS)

Experience
Experience in a similar role, preferably in a hospital or healthcare setting 3-5 years required

Knowledge, Skills and Abilities
- Understanding trauma care principles, including injury classification systems, treatment modalities, surgical procedures, and best practices in trauma management.
- Proficiency in medical terminology related to trauma injuries, procedures, and medical conditions.
- Ability to collect, organize, and manage complex medical data, including patient demographics, injury details, treatment information, and outcomes.
- Skill in assigning accurate codes to injuries and diagnoses is crucial for data analysis and reporting.
- Ability to generate reports and present data in a clear and concise manner.
- Understanding of data privacy and security regulations, as well as compliance requirements related to trauma registry management.

DATABASE RESPONSIBILITIES

  • Reviews the proper case selection using the MGH Trauma Division policy for inclusion and exclusion criteria and the ACS guidelines.
  • Extracts data for all current data fields for the registries from various electronic or paper sources following divisional, MA state, ACS, NTDS, and TQIP policies.
  • Fills out data entry forms when appropriate.
  • Performs diagnostic/procedure coding following ICD10 rules and guidelines.
  • Performs AIS injury coding following the AAAM coding rules.
  • Identifies and Enters performance improvement and complication data points per TQIP criteria.
  • Performs data entry on the cases selected and extracted adhering to the productivity matrix set up by the MGH trauma division and adhering to the ACS standards for Trauma Registrars
  • Performs data abstraction and data entry for Burn Registry when needed

DATA MANAGEMENT

  • Performs validation by reviewing reports and correcting errors when identified. Reporting discrepancies to manager when unable to resolve.
  • Assists with data projects with direction from the program manager and may include research projects, education and outreach, data mining or performance improvement activities.
  • Participates in all aspects of the TQIP Program
  • Attends webinars on TQIP education.
  • Takes quizzes regarding TQIP material.
  • Proficient with TQIP concepts, definitions, and requirements
  • Attends TQIP Scientific Conference yearly.
  • Performs TQIP data abstraction and data entry.
  • Adheres to the ACS registrar criteria as set by the ACS COT

ADMINISTRATIVE RESPONSIBILITIES

  • Participates in the Performance Improvement Program including producing electronic PI folders.
  • Medical Records abstracting for PI or other departmental projects.
  • Perform/participate in special projects at the request of the Program Manager, Nursing Director or Administrative Director
  • Other projects assigned by trauma administration.
  • Stay compliant with CITI certification.
  • Participates with American Trauma Society registrar programs and learning opportunities.
  • Responsible to keep up with the newest concepts and techniques for the trauma registry and burn registry.
  • Cross - covers for other staff members for breaks, lunches, vacations, etc. and during variations in workflow as needed.
