Job Description

We are seeking a detail-oriented Business Specialist with strong business acumen to manage financial and operational support for S&T's dining and catering services. Reporting to the S&T Assistant Vice Chancellor (AVC) for Business Operations and Strategy, this position works closely with the S&T Dining Director, Chartwells (dining vendor), and other subcontractors to oversee financial operations, student employee matters, and ensure smooth day-to-day operations.

Key Responsibilities:

  • Financial Reporting & Analysis
    • Serve as the primary point of contact for dining finance projections and inquiries
    • Manage weekly and monthly financial reports, including variance analysis
    • Oversee compliance with S&T standards in Accounts Receivable (AR), Accounts Payable (AP), and budgeting
    • Prepare, analyze, and present monthly P/L and balance sheet reports for AVC review
    • Ensure catering and product cost reports are completed on time
    • Assist with month-end closing processes, including financial reconciliations and reporting
  • HR & Payroll Administration
    • Act as the liaison for payroll and HR-related matters, ensuring timely onboarding of part-time employees to financial systems and time clocks
    • Coordinate with S&T team, Chartwells, subcontractors, and other stakeholders for smooth operational performance
  • Managerial Support & Financial Guidance
    • Support the dining director and operational teams in resolving financial issues
    • Provide financial insights to managers, chefs, and operations teams to optimize cost-reduction strategies, labor, and retail sales generation
    • Assist the AVC with variance analysis and collaborate on financial reports for vendors, subcontractors, and systems such as PeopleSoft and CS Gold
  • Data Management & Cost Control
    • Maintain accurate financial records and files
    • Oversee inventory management, conduct routine audits, and implement cost control measures
    • Coordinate with the CS Gold team for troubleshooting and work order submissions
  • General Ledger & Budgeting
    • Review and resolve issues in the general ledger
    • Develop and manage the annual dining and catering budget, collaborating with vendors and S&T for cost reduction and planning
    • Prepare and reconcile catering bills, subcontractor sales, and P&L statements
    • Assist in the budgeting process, including gathering data and developing plans for dining operations

Qualifications:

  • Strong attention to detail and financial management skills
  • Proven ability to collaborate with multiple teams and external vendors
  • Experience with financial reporting, budgeting, and payroll administration especially as it relates to food service
  • Ability to manage competing priorities and meet deadlines

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary

Preferred Qualifications

  • 3 years of experience in finance, accounting or related field
  • Experience in foodservice or retail accounting
  • Proficiency in sales analysis, planning, and financial processes
  • Strong communication, analytical, and organizational skills
  • Proficient in Microsoft Office (Excel focus); POS experience a plus
Anticipated Hiring Range

The anticipated hiring range for this position has been established as $21.42-$30.29 hourly.

Salary is determined by a variety of factors, including but not limited to, the individual's particular combination of education, skills, and experience, as well as organizational requirements.
