The College of Architecture, Art, and Planning at Cornell University (Cornell AAP) includes the departments of Architecture, Art, City and Regional Planning, the Paul Rubacha Department of Real Estate, jointly led by AAP and the SC Johnson College of Business, the multicollege Department of Design Tech, and the Cornell Mui Ho Center for Cities. The Department of Architecture dates to the founding of Cornell University. The department engages urgent global issues through a foundation of conceptual thinking and processes of making, and is committed to architectural practices informed by and embedding within evolving and dynamic social, environmental, and technical contexts.

The Opportunity

The Department of Architecture is seeking a highly organized and detail-oriented Finance and Operations Coordinator to join our dynamic team. This position plays a crucial role in supporting the department's financial, operational, and event coordination functions. As an integral member of the administrative team, the Finance and Operations Coordinator will help ensure efficient day-to-day operations, providing outstanding service to faculty, staff, students, and visitors.

Key Responsibilities: The Finance and Operations Coordinator will be responsible for the following areas:

  • Financial Transaction Support
    • Provide broad-based financial support for department accounts, including managing routine financial transactions (e.g., eDocs, expense reports, payment requests).
    • Assist with financial reporting, account reconciliations, and communicating accurate financial information to faculty and staff.
    • Serve as the primary procurement specialist for department faculty and staff, processing purchases and managing vendor relations.
    • Collaborate with the Department Manager to ensure compliance with financial policies and provide guidance to faculty on financial requirements.
  • Travel and Event Coordination
    • Plan and manage all phases of domestic and international travel for faculty and visitors, ensuring all travel arrangements align with departmental needs and Cornell's policies.
    • Provide comprehensive support for department field trips and course-related travel, managing budgets and coordinating logistics.
    • Oversee the planning and promotion of departmental events, collaborating with other staff and ensuring successful execution.
  • Office Operations and Administrative Support
    • Act as a primary point of contact for departmental queries and manage office supplies, equipment, and maintenance requests.
    • Provide general administrative support, including scheduling meetings, preparing reports, and managing correspondence.
    • Maintain accurate filing systems and databases for department information while ensuring confidentiality.
  • Collaboration and Policy Education
    • Educate faculty and staff on Cornell's financial policies and assist with policy updates as needed.
    • Work collaboratively with department and college-wide teams to ensure smooth operations and efficiency.

Minimum Qualifications:

  • Associate's degree, and 2-4 years of relevant experience, or equivalent combination.

If you have all those things, great! We have a few more things that we would prefer you to have, but it's ok if you don't.

  • expertise with typical business software, including Microsoft Office Suite, and financial management tools, and/or the ability to gain fluency quickly
  • proven success in event planning
  • the ability to learn and use new programs/tools quickly and to adapt to changing policies and procedures
  • experience in and/or demonstrated commitment to supporting diversity, equity, access, inclusion, and wellbeing
  • Bachelor's degree, and additional experience in a busy office or academic setting.
