Duties and Responsibilities
Director of Student Life - SSOM
The Director of Student Life - SSOM is an essential member of the Stritch School of Medicine ( SSOM) Leadership Team and supports the Senior Associate Dean as they provide vision, direction, and coordination for medical school programs, initiatives, and policies. The Director contributes to policy creation and decisions on Students that affect their academic studies, health, and well-being. Primary responsibilities include the implementation of Programs and Services that support Student Counseling, Progress, Career Planning, and Well-Being. The Director is expected to practice, advocate, and promote the highest standards for scholarship, academic achievement, honesty, and professional integrity.
DUTIES AND RESPONSIBILITIES
Primary responsibilities include Student Life programming, Student Leadership Development, and fostering and creating positive and mutually beneficial pathways for interaction and collaboration with individual Students, student groups, corporate student body, and student government.

  • Provide leadership, vision, and direction for developing the use of technology for Student Leadership Development, Student Program Executive, and Student Life budget management.
  • Collaborate with admissions to recruit and retain accepted applicants by supporting interview day and facilitating student life previews during recruitment events.
  • Create and conduct presentations on various areas of student life, leadership, and policies.
  • Organize and manage multiple student events.



Student Wellness

  • Lead efforts on student wellness programming.
  • Co-Chair Wellness Committee (WELL).
  • Work with Student Health on compliance issues such as Influenza vaccination, other required vaccinations, and Fit-Test programs for Students, and monitor them through CastleBranch.
  • Ensure student compliance through CastleBranch on all clinical requirements.
  • Serve as contact for Bloodborne Pathogens and Exposures to ensure Students know and follow the policies. Ensure student reimbursement and tracking for all exposures.
  • Foster working relationships with all University and Health Sciences offices to nurture school-wide programs and mutual goals.
  • Help to sustain liaison role between Student Health Service, Student Counseling Services, Insurance, and other vendors.
  • Serve on School, University, Health Sciences, and Medical Center Committees as appointed (e.g., Fitness Center, Wellness, Event Planning, Flu vaccine, etc.).

Policies and Compliance

  • Assist with enforcement and compliance of internal and external policies and procedures (e.g., School, University, Medical Center, AAMC, State and Federal, and LCME).
  • Provide resources to inform Faculty and Staff of relevant policies and procedures affecting Student Life.
  • Be aware of and ensure enforcement of specific University, State, and Federal laws and guidelines as they apply to Stritch/Loyola, such as film copyright, harassment, tax-exempt status, conduct code, Clery Act, Flu/Immunization requirements, and the AAMC Graduation Questionnaire, Y2Q, and MSQ.
  • Ensure all Off-Campus Speaker rules are followed, beginning with the Speaker Information Form, when engaged by students.
  • Attend Law and Higher Education Conferences to keep abreast of legal issues affecting college campuses.
  • Provide tax letters as necessary to student groups buying on university business.
  • Keep abreast of film copyright law and implement the same with students attempting to show films on campus.
  • Oversee all requests for the use of alcohol on campus by student groups.
  • Implement new policies and procedures as needed or as directed.


Student Organizations

  • Supervise and advise the Medical Student Union (MSU), its constitution, day-to-day operations, and elections.
  • Deal with any issues arising from MSU (i.e., MLK Day, Black History Month, Hispanic Heritage Month, Women's History Month, Faculty Evaluations, campus safety, Student Health, and Organization for Student Representatives conference participation).
  • Oversee student and class organizations (including the formation and development of same, meeting with Officers, maintaining Constitutions, approving events to happen, working with same to develop local Conferences, approving Speakers and alcohol use, and dealing with issues as they arise).
  • Oversee Contracts for Student Life activities and events.
  • Advise diversity student organizations (LMSA, SNMA, APAMSA, LGBTQ, etc.).

  • Honors Day and Graduation ceremony/reception
  • Oversee Student Wellness Advisory Group (SWAG) and all their events
  • Implement mentorship initiatives
  • Support Student Talent Show
  • Other duties as they happen include: Stritch Bowl, Student White Coat Patch design and distribution, working with students on blood drives, working with marketing on appropriate logo usage and designs of school-related clothing
  • Administer and support programs that focus on the assimilation and adjustment of M1 students to the Stritch culture and medical school environment
  • Plan mental health first aid training for incoming M1s annually and track compliance.
  • Support leadership development of student representatives. Plan and execute student leadership retreats annually.
  • Establish, monitor, maintain, and implement drug testing prior to clerkship years
  • Interview and select OSR for the M1 class
  • Assign student mailboxes and lockers
  • Plan and host monthly Dean's Leadership Council meetings
  • Serve as PeopleGrove administrator for SSOM


ADMINISTRATIVE ACCOUNTABILITIES

  • Serve as Program Designer and Director of the Medical School ASPIRE Program, an intensive 4-week summer program used to help recruit and retain a highly selective group of diverse Candidates for Medical School.
  • Collaborate with Associate and Assistant Deans in their efforts to define and achieve annual goals for Student Affairs, Medical Education, and the Stritch School of Medicine.
  • Foster and create positive and mutually beneficial collaborations with Faculty, Course Administrators, Staff, and Community-based Teachers and Mentors.
  • Write, oversee, and participate in various publications, including yearbooks, the Student Handbook, the Leadership Handbook, the Student Wellness Newsletter, and the Student Life Newsletter.
  • Serve on School and University Educational Committees as appointed (i.e., Scholarship and Awards, Student Wellness, etc.).
  • Foster working relationships with offices of Educational Affairs, the Academic Center for Excellence and Access, and Teaching Departments to nurture School-wide programs and mutual goals.
  • Collaborate and foster working relationships with the Medical Center, Alumni Relations, and other University Departments.
  • Foster and create positive and mutually beneficial collaborations with the office for Diversity, Equity, and Inclusion.
  • Help to nurture awareness in our culturally rich and diverse community and foster opportunities to raise sensitivities and improve cultural competencies in our student body.
  • Provide support to the Associate Dean for Match Week and SOAP processes.
  • Provide backup and overflow student counseling and problem-solving support to the Associate Dean and Assistant Dean.
  • Collaborate with the Senior Associate Dean and Assistant Deans for Student Affairs to define and achieve annual goals and the strategic plan for Student Affairs and SSOM; assume accountability for objectives assigned to this role.
  • Assist the Senior Associate Dean with administration of Student Affairs units (Student Affairs, Student Life, Admissions, Registration and Records, Financial Aid, and Bursar).
  • Foster working relationships with offices of Educational Affairs, Teaching Departments, and Teaching & Learning resources to create, sustain, and nurture School-wide academic goals for student success.
  • Foster and create positive and mutually beneficial collaborations with Faculty, Course Administrators and Staff, Community-based Teachers, and Mentors.
  • Foster and create positive and mutually beneficial collaborations with the Office of Diversity, Equity, and Inclusion (ODEI) Deans and Staff.
  • Help to nurture awareness in our culturally rich and diverse community and foster opportunities to raise sensitivities and improve cultural competencies in our student body.
  • Seek innovative and contemporary Student Affairs methodologies and ideas as advanced by AAMC and the National Group on Student Affairs (GSA).


Awards, Scholarship, Recommendations

  • Participate in planning and implementing annual academic programs and workshops such as First, Second, and Third-year Orientation Programs, Graduation Weekend activities, Admissions' Second Visit Program, and presentation of workshops on procedures for Match Day.
  • I oversee the process and identify student nominees for selective awards, scholarships, and outside recognition. Also participate in award committee work and implement Honors programs annually.
  • Write letters of recommendation for Students for external educational, enrichment, and scholarship opportunities, and certify enrollment status and School academic actions to external agencies.
  • Participate in Health Science Division (HSD), Loyola University Chicago (LUC), and Loyola University Medical Center (LUMC) Committees as required.


Administration/Enforcement of Policies & Compliance Requirements

  • Advise, interpret, and enforce student compliance with internal (LUC, LUMC) and external policies (AAMC, LCME, state licensing boards, etc.); inform and advise Faculty and Staff of relevant policies and procedures.
  • Inform, train, and advise Faculty and Staff of relevant policies and procedures.
  • Develop new policies and procedures as needed.
  • Oversee student compliance with E-learning and module requirements.


Administrative, Budget Management, Committee Work

  • Assist in managing Student Affairs operating budget, including Orientations, Career Counseling, and Student Leadership Development.
  • Contribute to the development of a web page for Student Affairs.
  • Participate in AAMC/LCME/GSA/ICAD activities and serve on Committees as appointed.
  • Represent Senior Associate Dean as delegated.
  • Other duties as requested.


Supervise and Manage Staff

  • Supervise, manage, train, and professionally develop two direct reports: Student Life Coordinators.
  • Perform annual review and evolution of job performances of direct reports.
  • Represent the Senior Associate Dean as delegated regarding Staff Supervision, Leadership, and Performance.

Minimum Education and/or Work Experience
Qualifications

  • Master's Degree in Higher Education or related field preferred. Experience in Graduate or Professional Students preferred.
  • Professional experience within a College or University with knowledge of Student Affairs.
  • Excellent interpersonal skills, written and verbal communication and presentation skills.
  • Demonstrate ability to understand multicultural perspectives as applied to student support.
  • Demonstrate experience with multicultural event programming and outreach events.
  • Presentation, word processing and spreadsheet software; use of Docfinity, Technolutions Slate, PeopleSoft, and Microsoft Office Suite preferred. Proficient in social media as an educational marketing tool. Proficient in podcasting, video chatting, and group meeting interfaces.
  • Ability to articulate the values and mission of a Jesuit institution.
  • Team player who has the ability to adapt to a dynamic environment.
  • Ability to work independently with little supervision.
  • Must have a valid Driver's License.
  • Ability to work evenings and weekends.
  • Ability to carry approximately 40 lbs of materials for programming and recruitment.

Certificates/Credentials/Licenses
REQUIRED QUALIFICATIONS

A master's degree in a relevant discipline plus a minimum of five years of progressively responsible student affairs and/or student life experience in a professional setting are required.
Strong understanding of academic policies and procedures, mentoring and guiding a culturally diverse student body, and demonstrated experience advising students and graduate faculty on highly complex, confidential matters.
Highly motivated, flexible, adaptable, and service-oriented, with strong collaborative skills for teamwork and consensus building among staff, faculty, and students.
Ability to work in a fast-paced, ever-changing daily environment and remain goal-oriented.
Excellent oral and communication skills and strong presentation skills are required.
Ability to work independently and cooperatively with others.
Ability to set priorities and multi-task.
Ability to learn and innovate as the needs of university and higher education evolve.
Ability to articulate the values and mission of a Jesuit institution.
Strong organizational skills are essential.
Ability to occasionally work evenings and weekends.
PREFERRED QUALIFICATIONS
Understanding medical student admissions, registration and records, financial aid, and funding processes.
Familiarity with Stritch School of Medicine and Loyola University Chicago policies and procedures.
Computer Skills
Proficiency with MS Office Suite, Internet and email applications. Social media expertise strongly preferred.
