DEPARTMENT OVERVIEW

The Student Life Business Office strives to provide high quality business services, including financial and human resource management in support of the Assistant Vice Chancellor of Student Life, University Centers, student governments, student organizations, and student enterprises, the UCSD Guardian Newspaper, and student life programs and services in an accessible and professional manner through the interpretation of University policy and procedures, logistical support, expert analysis, timely transaction processing, and accurate reporting.

POSITION DESCRIPTION

Under the supervision of the Financial Analyst, the Student Life Fund Assistant serves as the primary fiscal coordinator in support of UCSD's student organizations and undergraduate Associated Students (AS) and Graduate & Professional Student Association (GPSA) and their $3.2 million and $275,000 annual budgets, respectively. This position will meet with a high volume of principal members of student organizations, elected and appointed student officials, and other Student Life employees to meet student organization and government needs while navigating university and systemwide policies.

The Student Life Fund Assistant will be the primary facilitator and preparer of transactions in support of student organizations and student governments, including, but not limited to: gift acceptance; petty cash reimbursements; payment authorizations; purchase order requisitions; P-Card purchases; Travel & Entertainment Card purchases; Oracle Procurement orders; travel authorizations and reconciliations; budget and expense transfers; ledger reconciliation, including Control Tracker verification; cash deposits; lifting encumbrances; journal vouchers; and self-supporting activity recaps, including the balancing of general ledger accounts.

Fiscal coordination will be provided to all aspects of student organization and student government financial activity, which affects the entire campus of approximately 22,000 undergraduate and 5,000 graduate students. Programs, services, and initiatives supported include, but are not limited to: AS Student Promoted Access Center for Education & Services (SPACES); AS Student Sustainability Center (SSC); AS External Affairs; AS Services & Commissions; AS Outreach & Diversity Initiatives; AS Concerts & Events; AS Grants; AS Student Organization Allocations; and AS Enterprises, including Graphics Studio, and Triton Outfitters. Similarly, the incumbent will provide transactional support to GPSA Programs & Events; GPSA General Allocations; GPSA Department Per Capita and Cafe Vita, as well as other self-supporting activities and 550 student organizations.

The Student Life Fund Assistant will be responsible for constantly meeting face-to-face with a high volume of walk-in student customers regarding their co-curricular activities. As such, the incumbent must have excellent verbal and writing skills, to: Interact effectively and clearly communicate information to diverse personalities with varying concerns. Represent department administration in a professional and positive light to all contacts. Maintain confidentiality, and act with tact and discretion with sensitive information.

QUALIFICATIONS
  • Skill to develop, evaluate and implement financial computer systems. Proficient in MS Office Suite, including word, spreadsheet accounting, data base management, and electronic mail in performance of a variety of functions and tasks.

  • Experience with accurate and timely processing of a high volume of financial/business transactions.

  • Experience using consumer math (elementary arithmetic, solving practical business problems, changing money, establishing and working within simple budgets, etc.) in a work environment.

  • Demonstrated experience to work successfully in a busy, service oriented environment with frequent interruptions, varied work assignments, and fluctuating priorities while meeting multiple deadlines.

  • Ability to understand and interpret policy and guidelines and to initiate actions with minimal guidance or supervision. Proven ability to organize, problem solve, negotiate, and make decisions to accomplish Student Life goals. Proven knowledge to view tasks from varying perspectives.

  • Ability to participate effectively as team member with other staff.

  • Excellent verbal and writing skills, to: Interact effectively and clearly communicate information to diverse personalities with varying concerns. Represent department administration in a professional and positive light to all contacts. Maintain confidentiality, and act with tact and discretion with sensitive information.

  • Ability maintain confidentiality in dealing with confidential GPSA and AS issues.

  • Experience with Oracle and ISIS computer systems preferred.

SPECIAL CONDITIONS
  • Job offer is contingent upon satisfactory clearance based on Background Check results.

  • Must be available for occasional evening or weekend meetings.

Mandated Reporter: This position has been identified as a Mandated Reporter pursuant to the California Child Abuse and Neglect Reporting Act and requires immediate reporting of physical abuse, sexual abuse, emotional abuse, or neglect of anyone under the age of 18. It is the responsibility of the Mandated Reporter to ensure that they obtain proper training in order to fulfill their reporting responsibilities as required by the California Child Abuse and Neglect Reporting Act and University policy, and to complete and submit the required reports to the UC San Diego Police Department without delay.

Pay Transparency Act

Annual Full Pay Range: $40,700 - $85,295 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $19.49 - $40.85

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
