Job Summary

The Assistant Team Manager supervises support staff composed of Research Services Coordinators and Associate Research Services Coordinators working on grants or contracts according to established policies, practices and defined internal controls. Receives pre-determined work that are subject to a moderate level of control and review. Exercises judgment within defined procedures and policies to determine appropriate action. Identifies risks and responds accordingly. Provides priority setting and work flow analysis. Uses advanced contracts and grants concepts to manage high volume and high complexity transactions. The Assistant Team Manager serves as UCSF's Authorized Organizational Representative / Signing Official (AOR / SO) for a set portfolio of departments and faculty while providing supervision to a group of Research Services Coordinators (RSCs) and Research Management Services (RMS) Associates. The Assistant Team Manager will partner with the Research Services Team Manager to manage workload distribution, report and interpret the performance and metric data, serve as an in-house subject matter expert on a variety of topics, and ensure that the Team is maintaining the highest standard of proposal and award services. Reporting to the Research Services Team Manager, the Assistant Team Manager will be assigned direct supervision of at least two RMS Associates to assist with directing and managing the proposal process for the departments served by the Assistant Team Manager. In addition to his / her leadership role, it is critical that the Assistant Team Manager serve as an exemplary RSC by ensuring timely, compliant proposal submissions and accurate, efficient award review and acceptance.

The final salary and offer components are subject to additional approvals based on UC policy.

Your placement within the salary range is dependent on a number of factors including your work experience and internal equity within this position classification at UCSF. For positions that are represented by a labor union, placement within the salary range will be guided by the rules in the collective bargaining agreement.

The salary range for this position is $108,800 - $163,200 (Annual Rate).

Department Description

The Office of Sponsored Research is an advocate for all researchers at UCSF and provides them with
comprehensive pre-award services. The OSR, a $23M operation, is comprised of eleven shared service teams,
including 151 Proposal and Grants Specialist and Officers, Contract and Award Specialists and Officers,
Associates, and Assistant Team Managers and Team Managers supporting 2000+ faculty, and is responsible for
all pre-award grant activity for the campus

Required Qualifications


  • Bachelor's degree in related area and minimum of 4 years of experience or equivalent experience/ training
  • Thorough knowledge of contracts and grants transactions and applicable financial systems, as well as related policy, accounting and regulatory compliance requirements
  • Thorough knowledge of Federal Acquisition Regulation, Code of Federal Regulations, sponsor-specific policies, intellectual property policies, conflict of interest requirements, publication rights, application of indirect cost rates and other complex concepts in research administration
  • Thorough knowledge of and ability to interpret and apply sponsor, institutional and departmental policies. Knowledge of current compliance regulations in all areas of research administration
  • Ability to manage high volume and complex transactions
  • Ability to perform highly complex financial analysis and customized reporting
  • Thorough knowledge of policy and its interpretations
  • Demonstrated advanced knowledge of generally accepted accounting, fiscal and reporting principles. Demonstrated advanced competence in the use of spreadsheet and database software in financial analysis, fiscal management and financial reports
  • Proficiency in use of common desktop / web applications
  • Strong interpersonal skills, service orientation, ability to multi-task effectively in a varied, high volume environment, judgment and decision-making, reasoning, ability to develop original ideas to solve problems, and effective verbal and written communication skills
  • Thorough understanding of Research Management Services, its history and mission
  • Demonstrated skill and experience in proposal development and award management
  • Demonstrated leadership ability
  • Critical thinking skills, with proven ability to interpret and communicate policy
  • Strong analytical and problem-solving skills
  • Good customer service skills, with proven ability to interpret and communicate policy
  • Ability to prioritize and organize work, complete multiple tasks adhering to deadlines and balancing interruptions
  • Proficient skills in software applications (Microsoft: Word, Excel, PowerPoint, Adobe Acrobat)
  • Skilled in conflict resolution, negotiation and facilitation
  • Demonstrated ability to give corrective and constructive feedback
  • Ability to identify scope/difficulty of tasks/projects, set objectives, goals for self and others and work in team environment
  • Ability to work in changing environment and deal effectively with ambiguity
  • Flexibility and positive approach toward change
