The Human Resources Coordinator will be responsible for leading the pre-hire and onboarding process for new hires. This individual will also represent Institute on Aging as a regular point of contact committed to servicing, educating, and helping to solve problems for current and incoming employees.

POSITION DUTIES:

  • Proactively provide ongoing support and communication to new hires as they complete all new hire tasks, with the goal of getting all new hires to start on their proposed start date
  • Launch background checks and pre-placement health screens for all incoming employees
  • Coordinates scheduling of Interviews
  • Assist with Learning Management System management
  • Continuously refine and facilitate an innovative, engaging, and welcoming New Employee Orientation (NEO) and first day experience for IOA's new team members for all regional offices
  • Streamline onboarding procedures, working closely with cross functional partners to support new employee readiness
  • Work with the Human Resources Information System (HRIS) to support all onboarding and E-verify I-9 tasks and Reverification.
  • Responsible for ensuring data integrity.
  • As custodian of employee personnel records, lead longer term electronic filing project, and assist in facilitating regulatory audits.
  • Responsible for entering new hire and employee status changes while establishing best practices to ensure data integrity
  • Respond to employee and manager inquiries, while providing exceptional customer service and resolving issues in a timely manner
  • Partner with Talent Acquisition team members to ensure consistency with IOA mission, values, branding, and compensation philosophy
  • Always maintain new hire confidentiality and privacy
  • Develop and implement department-wide quality control (QC) measures
  • Collaborate with team on implementation of new procedures to increase efficiencies on day-to-day operations
  • Document Standard Operating Procedures (SOPs) and revise as necessary
  • Other duties as assigned

POSITION REQUIRED QUALIFICATIONS:

  • Pre-placement and onboarding experience with specialized knowledge in building efficient processes and new employee orientation for a multi-site organization
  • Knowledge of local, state, and federal employment laws (in working within a government contracting agency or union environment) preferred
  • Experience in supporting an HRIS, I-9 e Verify, and electronic filing system
  • Working knowledge of human resources best practices that can be applied in a health care or nonprofit environment
  • Customer focused with mature judgment, professionalism, and ability to maintain absolute discretion and confidentiality
  • Experience with Workday HRIS preferred

PHYSICAL AND LANGUAGE REQUIREMENTS:

  • Excellent written, verbal, analytic, and presentation skills
  • Ability to comprehend complex written materials and verbal instructions

Compensation

  • Range: $27.30 - $31.73/hour

This amount is not necessarily reflective of actual compensation that may be earned, nor a promise of any specific pay for any specific employee, which is always dependent on actual experience, education and other factors.

This range does not include any additional equity, benefits, or othernon-monetarycompensation which may be included.

TRAVEL REQUIREMENTS:

Ability to travel to different locations in the Bay Area as needed.
