Location This role will be on site at our Roseville office Join Our Dynamic Residential Team We are looking for a Residential Program Assistant to join our growing Residential team! This role will report to the Home Energy Squad Senior Program Manager. The Residential team is responsible for helping residential customers make energy efficient upgrades to their homes. As a Residential Program Assistant, you will be responsible for helping organize and maintain various Home Energy Squad digital filing systems, working with Program Managers on monthly invoicing and helping maintain the space at the Roseville office. What You'll Do
- Work on data cleanup in Salesforce and in CeeTrack (CEE's custom field tool)
- Assist program managers prepare monthly invoices
- Organize, maintain and delegate the Energy Advisor email inbox
- Organize and maintain Microsoft Teams file sharing across the Energy Advisor and Scheduling team
- Organize and maintain a filing system for Salesforce reports
- Update and maintain voicemail greetings in shared voicemail inboxes
- Maintain program outreach materials in the warehouse
- Schedule onboarding orientation for new trainees with human resources, IT, and accounting departments
- Manage and maintain office equipment and office supplies
- Maintain the general appearance of the office including wiping down common office spaces
- Assist employees with office phone/general technology questions including conference room computers and projectors; work with IT to resolve
- Professionally greet and direct guests in person and over the phone
- Staff morale - monthly birthday and anniversary treats, sending flowers, and setting up staff lunches
- Attend biweekly administrative staff meetings; follow up on tasks and projects
- Work with other administrative staff to help maintain the Roseville office building and warehouse
- Help maintain the Home Energy Squad fleet
- Drive a Home Energy Squad vehicle when needed
- Other duties as assigned or apparent
Skills & Knowledge We're Looking For
- At least 1 year of experience in program assistance, administrative, or related roles
- Effective communication and cultural competency skills, both written and verbal
- Proven ability to process and schedule a wide range of activities
- Must demonstrate excellent time management and organizational skills, the ability to meet deadlines and work in team settings
- Ability to work self-directed and independently with minimal supervision as well as on a team
- Adaptable to program changes and needs
- Strong organizational skills and attention to detail
- Proven ability to work effectively with Microsoft Office suite of products; experienced in data entry
- Interest in learning about energy efficiency and ability to communicate information effectively
- Must be able to lift 50 pounds as well as carry, push, kneel and squat
- Must have a valid driver's license and good driving record
Compensation Dependent on qualifications and experience, we expect the pay range upon hire for this position will be $19.00-$22.00.
