Job Description:

U.S. Government Subgrant Specialist

RMI is seeking a US Government (USG) Subgrant Specialist who will play a key role in supporting and managing RMI's subgrantees (may also be referred to as subrecipients or subawardees). Reporting to the Sr Grant Managerand working closely with the Subgrant Lead and other Subgrant Specialist, you will provide day-to-day oversight of subgrantees that RMI partners with through subgrant agreements, including but not limited to monitoring, training, andevaluating subgrantees. The subgrantees that this subgrant specialist will work with and manage are subgrantees partnering with RMI through US Government funding (i.e. federal, state, city, county, etc.).

Key Responsibilities

Pre-awardActivities

  • Help RMI program teams determine if a potential partner should be considered a subgrantee or contractor

  • Work with the procurement team to administer the Subgrantee Questionnaire for any new subgrantees. Collect completed documents and create/edit new subgrantee folders and update subgrant tracking in SharePoint, Monday.com, and Salesforce

  • Administer and review subgrantee budgets, budget justifications, indirect cost rates, fringe benefits, and more, to ensure compliance with the funder's requirements

  • Support the subgrant team with all anti-terrorism, anti-money laundering,and departmentcompliance checks ofpotentialpartners and ensure accurate tracking of all suchrequests

Implementation & Close Out

  • Help maintainand manage RMI's subgrant database

  • Hold kick-off meetings with subgrantees after a fully executed agreement is in place to discuss key terms and conditions, reporting requirements, and more

  • Provide training and capacity building activities to subgrantees, as needed

  • Track subgrantee financial and programmatic reporting, ensuring timely receiptof these reports fromsubgrantees

  • Conduct timely review and approval of all subgrantee reporting/invoicing, ensuring proper spend per subgrantee's budget categories, communicate pre-approval to RMI program team, provide approval in Workday and input budget vs. actual information into subgrant trackers

  • Schedule and facilitate routine check-ins meetings with RMI program teams, procurement and legal to ensure alignment on subgrants

  • Work in partnership with Grant Managers and Program Teams to identify and facilitate necessary budget revisions for subgrantees

  • Closely track all end dates of RMI's subgrants and work with RMI program staff if addendums are needed

  • Assist with draft subgrant addendums for things such as budget revisions, no-cost extensions, additional funding, additional scope, etc.

  • Track and provide analysis and metrics of current and closed subgrants,e.g.,spending patterns, outstandingreports

  • Work withthe subgrant team, RMI program staff and subgranteeson subgrant close out,e.g.,documentation, distribution of inventory, retention of intellectual property, audit, etc.

Other / miscellaneous

  • Along with the subgrant team, provide training and resources to RMI staff on RMI's subgrant procedures

  • Provide guidance and act as a resourcetoRMI staff for all compliance-related issues pertaining tosubgrantees

  • Ensure subgrantees documentation is up to date in RMI's systems, as needed, and conduct an annual risk screening of all active subgrantees

  • On a monthly basis, review RMI's total subgrant expenditures to ensure proper accounting of subgrant expenditures on RMI's general ledger

  • On an annual basis, check USG subgrantee SAM.gov registrations to ensure they are still active and file their annual SAM.gov registration records in their subgrantee folder

  • On an annual basis, collect completed Uniform Guidance Subpart F - Audit Requirements Compliance Form from all USG subgrantees

  • Additional responsibilities, asrequired

MinimumQualifications

  • Bachelor'sdegreeinbusiness, finance or accounting, or an equivalent combination of education and experience

  • Minimum ofthreeyearsprogressive work experience in grant/contract administration with at leasttwoyearsworking on subgrantadministration

  • Knowledge of Uniform Guidance (2 C.F.R. Part 200), Federal Acquisition Regulations (FAR), and other rules and regulations related to USG awards

  • Experience with implementing and managing subgrant processes and procedures within an international organization

  • Exceptionalorganization skills and the ability to multitask on several projectssimultaneously

  • Excellent written and verbal communication skills

  • Exceptional interpersonal skills and rapport building

  • Proficiencyin Microsoft Office

AdditionalQualifications

  • Experience with Salesforceand grant management software

  • Experience with Workday and Monday.com is a plus

  • A passion to drive change and further define a new centralized role at RMI

  • Willingness to work virtually or in an officesetting

Location

We are a remote-ready company with team members around the globe. Our beautiful and welcoming offices are available for meetings or focused work, whether you are traveling through or living nearby. Our U.S. offices are in New York City; Washington DC; Oakland, California; Boulder, Colorado, and Basalt, Colorado.

We love seeing each other in person! We occasionally gather for shared time together like retreats and learning experiences. Be ready to travel for occasional in-person meetings (and of course, we cover travel costs). Some roles may require more travel, which will be discussed during the hiring process.

Compensation

RMI compensates based on the level and requirements of the role. Salary within our ranges may also be determined by your education, experience, knowledge, skills, and abilities, as required by the role, as well as internal equity and alignment with market data. The salary for this role is in between $55,000 to $67,788.You would also have an additional 5% bonus target!
