Primary Duties and Responsibilities:
The position will report to the Business Manager and is responsible for managing all MAC artist and operational contracts. Assists the division with general business operational functionality, requests, and reports with the College administrative departments including Finance, Payroll, Purchasing, Facilities, Information Technology, and Human Resources.

  • Manages the operational functions for the division and acts as a liaison with College business operations.
  • Manage artist contracts and all related documents including contract reviews and edits, riders, certificates of insurance requests, sole source documents. Prepare related payments according to schedule and follow up with agents. Approximately 60 contracts annually for MAC Touring shows, New Philharmonic Orchestra and Cleve Carney Museum of Art.
  • May assist in RFP development, purchasing contract negotiations, and the preparation of the financial sections of the proposals.
  • Prepare and track procurement requisitions and vendor intake forms for all purchase and blanket orders. Assure proper quotes and bids are received.
  • Prepare and submit service contracts for vendors and college events.
  • Perform Accounts Payable functions including invoice markup and submissions and check requests. Audit payments within college system.
  • Perform Accounts Receivable functions including invoice creation, tracking, and follow-up along with deposits.
  • Manage and monitor MAC internal accounting system (Quickbooks) by auditing ledger with all payables and receivables.
  • Oversees data entry of MAC transactions into Quickbooks. Run profit/loss reports for all shows.
  • Coordinate New Philharmonic Orchestra members' new hire paperwork and assure required paperwork and Compliance Training is complete. Follow-up with 80+ members per concert as needed.
  • Acts as the liaison with Human Resources to ensure timely, efficient paperwork submission and personnel processing.
  • Produce monthly general ledgers and distribute to MAC managers.
  • Prepare internal chargebacks and temp-on-call transfers.
  • Systems expert and master user for Colleague, ESM Purchasing and Contracts, Quickbooks, and other systems
  • Trains other divisional staff on systems as needed.
  • Supports the implementation of College-wide policies and procedure changes within the Division as well as the creation, maintenance and distribution of divisional policies, procedures.
  • Partner with the Division's other support staff to provide seamless support to the Division.
  • Backup MAC Events Specialist by providing general support to employees within the office.
  • Delegate assignments to student workers and other part-time employees.
  • Help host, plan and staff events in Arts Center.
  • Serve as a representative of the MAC at off-campus events and festivals.
  • Assist with MAC special projects and other duties as assigned.


  • Qualifications:

    • Education
      • Bachelor's degree in Business, Management, Accounting, or a related field required.
      • Or Associate's degree in Business, Management, Accounting, or a related field with equivalent years of experience from which comparable knowledge can be ascertained required.
    • Experience
      • Minimum two years operations or professional business experience, preferably in an academic setting required.
      • High degree of accuracy and attention to details required.
      • Good written and verbal communication skills required.
      • Ability to work autonomously and demonstrate initiative required.
      • Strong organizational skills and ability to work within a complex, evolving organization required.
      • Ability to maintain confidentiality required.
      • Proficient with MS Office suite including Excel, Word and Outlook required.
      • Experience with Quickbooks or other accounting systems preferred. Prior experience utilizing MyAccess student system Colleague system preferred.
      • Experience working in finance or purchasing is a plus.
      • Previous Arts Center employment preferred but not required.

  • Hiring Range:
    Starting pay begins at $21.70/hour based on experience
