The Opportunity

We are seeking a Conference Services & Events Specialist to join our Firm. Within this position, you will be responsible for the planning, development, organization & operations for all aspects of the department. This is an on-site position based in our New York office. Please note that the Firm will not sponsor applicants for work visas for this position. Responsibilities include but are not limited to:

  • Along with the department management team, oversees day-to-day operations of all department functions including on-site, off-site and virtual events, and provides on-site support for each.
  • Monitors meetings in the Firm conference center and ensures the effective coordination of room assignments, food services, facilities management, audio/visual and other support services to ensure a seamless and elevated meeting experience.
  • Anticipates guests needs and is able to represent the Firm in handling complaints.
  • Reviews, approves and submits to accounting all charges made by the dining service department for conference and special event catering.
  • Sources and secures event space for off-site events.
  • Assists in the review of contracts for hotels, restaurants, and other related services for off-site events.
  • Develops, maintains and utilizes event websites such as CVENT and EMS.
  • Ensures current knowledge of Firm policies and practices, current knowledge of industry trends, and continued professional development.
  • Participates in the interviewing, selection and training process.
  • Recommends and implements changes and improvements in methods and procedures to higher level management.
  • Coordinates and oversees department projects, day-to-day operations and long-range plans.
  • Provides guidance in the resolution of problems.
  • Recommends guidelines and practices to promote efficiency, effectiveness, and elevated customer service in alignment with the Firm's expectations for its internal and external clients..
  • Develops and communicates departmental guidelines and procedures.
  • Ensures accurate and timely responses to requests for departmental services.
  • Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.
  • Manages Firm resources responsibly.
  • Complies with and understands Firm operation, policies and procedures.
  • Performs other related duties as assigned or as needed.

Qualifications

  • Knowledge of Conference Services & Events field and procedures
  • Knowledge of and experience in corporate or fine dining operations
  • Current knowledge of industry best practices, trends and techniques
  • Knowledge of relevant Firm computer software programs (e.g., Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems
  • Demonstrates effective interpersonal and communication skills, both verbally and in writing
  • Demonstrates close attention to detail
  • Excellent analytical, troubleshooting, organizational, and planning skills
  • Ability to handle multiple projects and shifting priorities
  • Ability to handle sensitive matters and maintain confidentiality
  • Ability to organize and prioritize work and delegate effectively
  • Ability to work well in a demanding and fast-paced environment
  • Ability to work well independently as well as effectively within a team
  • Ability to use discretion and exercise independent and sound judgment
  • Flexibility to travel
  • Flexibility to adjust hours and work the hours necessary to meet operating and business needs

Education and Experience

  • Bachelor's degree
  • Minimum of five years of hospitality experience

The starting base salary for this position is expected to be within the range listed under Salary Details. Actual salary will be determined based on skills, experience (to the extent relevant) and other-job related factors, consistent with applicable law.

$110,000 - $120,000
