Pay Rate/Range: The budgeted salary range that the University reasonably expects to pay for this position is $70,000 to $85,000/year. Salary offers are determined based on final candidate qualifications and experience; the budget for the position; and the application of fair, equitable, and consistent pay practices at the University. The full salary range for this position is $69,500 to $123,500/year.

The Economic Forecast Project is a UC Santa Barbara community-sponsored research department. Its mission is to provide reliable economic, demographic, health, and environmental data and analysis to our community of citizens, government, business, non-profit, and other users. To this end, the EFP maintains extensive databases for Santa Barbara County and the Central Coast. Research is presented to local communities via the internet, publications, webinar, and events held across Santa Barbara County throughout the year.

Brief Summary of Job Duties:

Serves as the Assistant Director of the Economic Forecast Project working with the Director of the Economic Forecast Project, handles all fundraising, business and sponsorship matters. This position requires the incumbent to act with extraordinary judgment, initiative, discretion, and independence. Must be able to independently prioritize, organize, and handle a wide variety of responsibilities accurately, consistently and with tight deadlines. Maintains the sponsor and board databases. Initiates marketing and publicity related to Forecast events, in coordination with external event coordination, graphic art services, arrangements for speakers, boards, event logistics and sponsor recognition. Collects and updates all speaker photographs and bios as well as all sponsor descriptions and logos. Serves as primary contact with outside printing vendors for scheduling, training, assignment and prioritization of workload. Serves as primary contact with outside printing vendors for scheduling, estimation of printing expenditures and contract negotiations. Attends board and committee meetings and records minutes. Coordinates board and committee meeting schedules. Collaborates with board members on sponsor prospects. Keeps board members informed on all aspects of sponsorships, events, and speakers. Cultivates and stewards board member relationships. Must have knowledge of economic and financial principles. Graphics, writing, editing, publishing, digital economics newsletter. Manages social media accounts: content creation, editing, publishing, monitoring, interacting with users. Monitors and works with others to keep the website up to date. Monitors and coordinates the Director's calendar and schedule.

Required Qualifications:

  • Bachelor's degree in related area and / or equivalent experience / training
  • 1-3 years of experience in related field and/or training
  • Knowledge of economic and finance principles.
  • Thorough written, verbal and interpersonal communications, tact and political acumen to effectively represent the campus.
  • Thorough research, analytical and critical thinking skills, including sound judgment and decision-making skills and skill to correctly identify real and potential problems, advising management as required, and proposing effective strategic resolutions.

Preferred Qualifications:

  • 1-3 years of experience working with economic and finance principles
  • Skill in project management, including event planning and meeting deadlines.
  • Thorough knowledge of basic concepts, principles, and procedures of building and maintaining effective relations with alumni, internal and key constituencies.
  • Thorough knowledge of the campus, its mission, goals, objectives, programs, achievements, infrastructure and issues of concern.

Job Functions and Percentages of Time:

  • 20% Sponsorship Development - Identify, cultivate, solicit, and close corporate sponsorship prospects and steward existing sponsors. Meet individually with prospects and sponsors throughout Santa Barbara County. Work with Director and board members to cultivate sponsor prospect relationships including strategies leading to sponsorship, sponsor related meetings, and proposals to prospects. Create and execute a master plan that includes annual sponsorship revenue goals based on the Director's direction. Prioritize and coordinate all sponsor fund raising activity, working closely with board members. Collaborate with other UCSB Development Officers on potential prospects. Primary liaison with 100 corporate, non-profit and government sponsors, seminar coordinator and printing vendors, as well as other community representatives for the EFP. This includes: 1) oversight of seminar coordinator in preparation for annual conferences and mid-year update conferences, 2) estimation of printing expenditures, scheduling, and contract negotiations with outside printing vendors; 3) collection and updating of all speaker photographs and bios 4) collection and updating of all sponsor descriptions and logos on an annual basis. Frequent contact with executives representing major sponsors, handling all of their needs and requests in an efficient manner. Attends community events as a representative of the Economic Forecast Project.
  • 35% Communications, Marketing and Publicity - Designs invitations, fliers, and other promotional materials for Economic Summit and related events using Adobe InDesign. Coordinates and approves radio, print and television advertising before and after events, with special attention paid to accuracy. Updates EFP website with latest information about upcoming events. Edits and proofreads content for the website with knowledge of online blogging and publishing tools as well as with attention to grammar and punctuation. Incorporates their knowledge of economic and financial principles. Graphics, writing, editing, publishing digital newsletter. Manage social media accounts on a regular basis: content creation, editing, publishing, monitoring, interacting with users.
  • 15% Event Management - Independently plans, coordinates, implements and problem-solves all aspects of various EFP events, including one large Economic Summit for 1100-1500 guests and two mid-year Economic Updates for 200+ people. Manages guest lists, ticket distribution, invitations, and tracks RSVPs. Attends all events and is the main contact person and EFP representative for any problems that may arise. Negotiates with and manages event vendors, service providers and venue facilities ensuring payment for goods and services rendered and that policies and procedures set by UCSB Business & Financial Services are followed. Obtains special permits if necessary, including extensive communication with the City of Santa Barbara and the Santa Barbara Downtown Organization and local Chambers of Commerce. Develops event budgets of up to $100,000; evaluates and selects venues; evaluates need for and negotiates contracts for vendors and services; monitors costs against established budgets. Arranges all technical support contracts for off-site seminars and conferences. Directs layout and set up of various event sites such as conference rooms, large conference facilities, public venues such as theaters, including multiple staging areas. Supports and/or directs multiple event participants including special guests and speakers, board members, community and business leaders, campus administrators. Ensures that all events represent the university, its constituents and its policies appropriately, that needs and timelines are effectively and efficiently met, and that goals for events are achieved. Coordinates post event acknowledgements and documentation.
  • 10% Finance & Administration - Procurement services such as, but not limited to, Gateway orders, vendor contracts, income contracts serving as a Flexcard holder, etc. A/P - Payment of invoices/event venues/catering etc. while adhering to UC's policies, procedures and budget guidelines. On-boarding and Off-boarding of grad students including but not limited to recruitment, hiring, approving Kronos timecards, arranging computer and file access needed and general supervision.
  • 10% Board Management - Attends all board meetings and records minutes. Collaborates with senior corporate, non-profit and government executives who comprise the EFP boards on sponsor prospects. Keeps board members informed on all aspects of sponsorships, events, and speakers. Cultivates and stewards board member relationships. Works with board chairs and committee chairs on goal setting and strategies to accomplish established goals.
  • 10% Sponsor Services - Primary liaison with 100 corporate, non-profit and government sponsors, seminar coordinator and printing vendors, as well as other community representatives for the EFP. This includes: 1) oversight of seminar coordinator in preparation for annual conferences and mid-year update conferences, 2) estimation of printing expenditures, scheduling, and contract negotiations with outside printing vendors; 3) collection and updating of all speaker photographs and bios 4) collection and updating of all sponsor descriptions and logos on an annual basis. Frequent contact with executives representing major sponsors, handling all of their needs and requests in an efficient manner. Attends community events as a representative of the Economic Forecast Project.
