Position Title:Staffing coordinator Department:Nursing Administration Job Description:

General Description: Under direction from the Clinical Coordinator, will actively coordinate scheduling and staffing proactively for designated areas within OUMC and the Children's Hospital and will work collaboratively with Edmond Medical Center to provide staffing resources. Collaborates with department leadership and staff to understand patterns and needs of each department. Responsible for meeting budget, compliance, and patient safety guidelines.

  • Works to obtain staffing resources for inpatient Nursing and other clinical staffing for OUMC and the Children's Hospital
  • Allocates Safety Attendant resources per policy as needed.
  • Assists the nursing units in meeting their staffing ratios per Staffing Matrixes and needs per department leader requests.
  • Strives for continuous improvement in customer service and processes in the Staffing Office.
  • May also perform various administrative duties to include reconciling agency billing invoice statements, preparing and maintaining reports and other documents as needed.
  • Applies Hospital Policy and Procedure as it relates to Nursing staff expectations of time, attendance, floating, travelers, staffing contracts and cancellations and other policies as required.
  • Document and validate staffing needs.
  • Communicates daily or as needed with various staffing agencies to obtain outside staffing resources.
  • Understand employee scheduling patterns, requests, and preferences and collaborate on resolution and communication if alteration needs to be made.
  • Review requests for paid time off (PTO), vacation, maternity leave, Family Medical Leave (FMLA), and unpaid leaves of absence.
  • Keeps attendance records and communicates with department leadership as needed.

Minimum Qualifications:

Education: High School Diploma or GED required. Associate's degree in operations, business, or leadership related preferred.

Experience: Three (3) years of experience in an acute care hospital setting preferred. Strong preference for scheduling, timekeeping or payroll experience within a fast paced environment. Experience with computer based office software and web based applications, e.g. Microsoft office, Excel, Peoplesoft preferred.

Licensure/Certifications/Registrations Required: None

Knowledge, Skills and Abilities:

  • Working knowledge of Microsoft Word and Excel.
  • Ability to organize, plan, coordinate and evaluate staffing needs for the hospital and on individual patient care units.
  • Ability to maintain collaborative and effective working relationships with multiple departments, outside agencies and healthcare professionals.
  • Excellent verbal and written communication skills. Excellent customer service skills.
  • Good computer skills.
  • Analytical and critical thinking abilities with effective decision making and negotiation skills.
  • Ability to effectively manage multiple tasks simultaneously.
