LEGAL SECRETARY

Department of Law

Federal Civil Rights Litigation (FCRL) Division

Number of Positions: 1

(Additional vacancies are possible pending budget approval)

Starting Annual Salary: $60,720

This position is open to the public and all current City employees covered under the City's collective bargaining agreement with AMERICAN FEDERATION OF STATE, COUNTY, AND MUNICIPAL EMPLOYEES (AFSCME) - BARGAINING UNIT 1, 3, 4 & 5.

Only employees in City job titles in this bargaining unit are eligible to bid.

Under general supervision, performs specialized and confidential administrative and secretarial support to attorneys in the Federal Civil Rights Litigation (FCRL) Division, and performs related duties as required.

Essential Duties:

* Schedules meetings and maintains the supervisor's appointment calendar

* Screens office visitors and telephone calls, takes messages and responds to inquiries and complaints forwarded to the supervisor's office

* Uses word processing, spreadsheet and related desktop software to format and generate a variety of complex legal documents and correspondence including answers, answers to interrogatories, and responses to motions for summary judgment

* Organizes and maintains legal, confidential and administrative files

* Creates and maintains databases to track pending cases and assignments

* Prepares documents for court filings and warehousing

* Proofreads and edits legal documents for grammatical, spelling and formatting errors

* Relays supervisor's directives to staff and ensures their execution for efficiency of work operations

* Works on special projects and handles special assignments, as required

* Prepares statistical and work activity reports on unit operations

Additional duties may be required for this position.

Location: Law Department-2 N. Lasalle, Suite 420

Division: FCRL

Days Off: Saturday and Sunday

Shift: Monday-Friday

Hours: 9:00 am to 5:00 pm

(Shift may vary due to the needs of the operation)

Qualifications

Three years of work experience in operating personal computer equipment, preferably in a law office, or an equivalent combination of training and experience.

Licensure, Certification, or Other Qualifications

* Typing at a skill level of 50 words per minute is required.

NOTE: A copy of your official transcripts, professional license, or training certificates will be required at the time of interview, if applicable.

Selection Requirements: This position requires applicants to successfully pass a written job knowledge test and complete an interview. The test results will be sent out by the Department of Human Resources after the test results have been analyzed and compiled. Candidates who pass the exam will be selected for an interview. The interviewed bidders receiving a passing score on the exam and possessing the qualifications best suited to fulfill the responsibilities of the position will be selected in seniority order according to the collective bargaining agreement.
