Records Specialist - South Campus
PRIMARY FUNCTION: The essential function of the Records Specialist is to accurately process student records for official purposes, including admissions applications, transcript evaluations, Texas Success Initiative (TSI) decisions, transcript requests, meningitis vaccinations and graduation audits.
Essential Job Functions:
- Receives and evaluates all incoming high school, college and university transcripts in both paper and electronic formats.
- Receives documents and establishes TSI status based on test scores, transcripts, and related documents.
- Processes transcript requests for current and former students. Send San Jac transcripts via EDI and US mail and monitor our Parchment account for sending transcripts
- Processes Apply Texas admissions applications and update data in Banner student information system.
- Runs and use ARGOS reports and Excel to review and clean data in Banner.
- Audits graduation applications for accuracy and completeness.
- Provides support to college staff regarding admissions, TSI, transcript evaluations, and graduation.
- Reviews attendance roster forms and academic standing for students with grade changes.
- Audits data for state reporting and National Student Clearinghouse purposes.
Additional Job Functions:
- Tracks and reviews transcripts for reverse transfer degrees.
- Resolves duplicate records.
- Enter meningitis immunization documentation into Banner and complete audit reports.
- Tests and/or verifies software application implementations or upgrades.
- Performs other duties as assigned.
Knowledge, Skills and Abilities:
- Knowledge of current Texas Higher Education Coordinating Board (THECB) rules and regulations
- Knowledge of all aspects of Student Records Management
- Must have a high-level understanding of FERPA law.
- Must be extremely accurate and have excellent communication, proofreading, grammar, and spelling skills
- Ability to problem solve, work unsupervised, and multitask in a busy office environment
- Ability to work evening and weekend overtime hours as needed
- Ability to demonstrate the College values
Required Education:
- High school diploma or equivalent
Preferred Education:
- Completion of college credit
Required Experience:
- Two (2) years of office experience in a community college or related environment
- Experience with Banner or experience with other student information systems such as PeopleSoft, Datatel, etc.
