About the Job

The College of Science and Engineering seeks a temporary skilled and energetic Principal Office and Administrative Specialist to serve in a key role in the Dean's Office. This position provides executive administrative support to the Dean's Office, with the primary responsibility of providing support to the Associate Dean for Research and Associate Dean for Academic Affairs. Responsibilities include but are not limited to performing daily administrative work processes. Must possess an elevated level of verbal and written communication skills with the ability to proof, create and update documents using Microsoft Office, Word, Excel, PowerPoint, Google Calendar, and Google Drive. The position interacts, works, and communicates with all CSE staff and UMN employees, therefore must be outgoing and able to provide, interpret and complete administrative direction.

50% appointment at 20 hours a week. End date August 29, 2025

Responsibilities:
Executive Office Support (90%)

  • Provide comprehensive administrative support for the Associate Dean for Research and Associate Dean for Academic Affairs.
  • Handle routine processing and delegated approvals of research proposals
  • Assist the CSE finance team with accounts payable voucher entry.
  • Establish processes to coordinate and prioritize work across a high volume of demands that are diverse in nature and often conflicting.
  • Calendaring and meeting logistics: Demonstrate expertise in coordinating high-level executive calendars and complex meeting schedules including responding to multiple availability requests, prioritizing requests, assessing travel time between meetings, monitoring calendar for conflicting meetings, and actively scheduling meetings with staff and stakeholders, and anticipating needs.
  • Help maintain and process faculty affairs forms for Assistant and Associate Professors and function as a liaison for faculty to coordinate with the Associate Dean for Academic Affairs and the Director of Faculty Affairs.
  • Fulfill special project requests as needed to support core functions and operations of the Dean's Office.
  • Assist with coordinating CSE faculty development workshops.
  • Ensure the CSE Dean's Office front desk is staff as needed

Support to Executive Assistant to the Dean (10%)

  • Assist the Executive Assistant to the Dean as needed to help support the CSE Dean's Office operations
  • Event support: Assist with all event planning for the CSE Dean's Office. Manage logistics such as reserving rooms, catering, set-up, and breakdown for CSE related events such as award ceremonies, monthly meetings, and specialty events that occur each semester.
  • Provide additional administrative support for the Dean's Office including running errands on campus, scanning, faxing, or copying documents.
Qualifications

Required Qualifications:

  • High School Diploma/GED and two years of related office and administrative experience. Training/education may be substituted for some of the years of experience.
  • Computer experience required.
  • Google Suite experience required.

Preferred Qualifications:

  • Administrative experience in Dean's Office at a higher education institution
  • Experience with Perceptive Content
  • Experience with DMS (Donor Management System)
  • Ability to work both independently and within a team-based office including faculty, researchers, staff, and community members.
  • Experience with web conferencing software (e.g., Zoom, Microsoft Teams, Google Meet)
  • Basic accounting experience.
  • Excellent interpersonal and communication skills with an ability to work collaboratively with diverse audiences.
  • Proficient with Microsoft and Google suites, with the drive to learn new systems, as needed.
  • Reliable and accountable with passion and commitment to their team and community.
  • Highly organized with attention to detail in a fast-paced, multitasking environment.
  • Self-motivated, self-guided, goal-oriented, and mindful of deadlines.
  • Demonstrated experience managing a wide range of administrative related tasks with commitment to professionalism and confidentiality.
  • Previous experience supporting executive leaders.

Fixed Pay Rate: $21.69/hour

Time Appointment: 50%-74% Appointment
