Position Summary
This position is directly responsible for providing administrative support for the College of Agricultural and Environmental Sciences ( CAES) Office of the Dean and Director, including the Dean and other office staff. This position is housed in the CAES Office of the Dean and Director and works in partnership with the Associate Deans of Research, Extension, and Academic and Faculty Affairs to carry out the College's land grant mission. The College has over 3,000 regular employees, located among three main campuses, 11 research and education centers and farms, five 4-H camps, and 159 counties.

Administrative Support for Dean's Office

  • Prepare weekly meeting materials for the Dean and Director including compiling meeting agendas, supporting documents, and relevant notes.
  • Create, organize, and maintain both digital and physical filing systems, ensuring all documents are properly stored and easy to access.
  • Manage travel arrangements for Dean and Director and Dean's Office staff, including flights, lodging, rentals and associated reimbursements.
  • Assist Chief of Staff and Director of Government Relations and Government Affairs with planning and implementing office events, including annual retreats, tours, professional development activities and workshops, etc.
  • Arrange meeting logistics, including booking conference rooms, managing catering needs, coordinating virtual meetings, preparing agendas, and gathering materials for meetings.
  • Provide administrative support for specific projects, including research, document preparation, and timeline tracking.
  • Maintain an up-to-date contact list for key contacts, stakeholders, and external partners, ensuring the Dean's Office staff has easy access to this information.

Office Management

  • Greet and direct visitors, clients, or contractors, ensuring a professional and welcoming office atmosphere.
  • Serve as the first point of contact for incoming phone calls, answering in a polite, professional, and efficient manner; direct calls to the appropriate staff member or department, or take detailed messages when necessary.
  • Monitor office supplies inventory and reorder materials as necessary, including office stationery, printer supplies, and other essentials.
  • Implement systems to organize office supplies, equipment, and documents, ensuring everything is stored and easily accessible.
  • Process invoices and expense reports for payment in coordination with the CAES Business Office.
  • Hold a UGA P-Card and adhere to policies for purchases and payment.
