Position Summary:
TheDistribution Center Administrative Assistantis a skilled position.You will betheprimary contact for sales & customer related service issuesregarding order fill, quality, service delivery, etc.
Key Job Responsibilities:
  • Assist in the preparation and control of records, statistics, and reports regarding operations, such as, temporary time reports, financial reports; Key Performance Indicators (KPI) reports; Period end reports.
  • Invoice coding and enter in checkbook; compare General Ledger (GL) to checkbook.
  • Prepare third party invoices.
  • Serve as administrative liaison with others within and outside the company regarding administrative issues related to purchasing, facilities and operations.
  • Maintain appropriate directories, phone lists and coordinate with Information Services on network issues.
  • Monitor public entry to the Distribution Center (DC).
  • Open, sort and distribute mail.
  • Coordinate and organize meetings and control meeting calendar.
  • Conduct hourly orientation.
  • Assist with associate services.
  • Coordinate and maintain calendar of Training for associates.
  • Collaborate with managers administrative duties such as presentations, huddle PowerPoint and postings.
  • Maintain bulletin boards.
  • Assist with associate engagement, appreciation/celebrations.
  • Manage and coordinate donation requests.
  • Compose and type proprietary correspondence, reports, and other documents.
  • Attend weekly staff meetings and other meetings as appropriate for record-keeping purposes. Take and prepare meeting minutes.
  • Support the Plant Management staff with effectively utilizing the announcements and communication boards throughout the Distribution Center (DC).
  • Maintain associate uniform standards.
  • Sort payroll checks.
  • Manage substantial amounts of incoming calls and emails.
  • Resolve service problems by clarifying the customer's complaint; determining the cause of the problem; selecting and explaining the best solution to solve the problem; expediting correction or adjustment with respective distribution management; following up to ensure resolution.
  • Communicate and coordinate follow up with functional teams as necessary (Manufacturing, Distribution, Sales, Customer/Account).
  • Build relationships of trust through open and interactive communication with all functional areas.
  • Respond promptly to inquiries by phone or email.
  • Learning and support our reporting systems.
  • Keep associate and other records.

Education and Work History:
  • High School Education or equivalent required; college degreepreferred.
  • 1-3 Years of relevantCustomer Service, Administrative Assistant experience preferred.
  • A combination of education, training and experience that results in demonstrated competency to perform the work may be substituted.
  • Strong reading, math, andcommunication skills: phone, email, and active listening skills, with the ability to adapt/respond to various customers.
  • Must be well organized and computer literate:Excel and Word experience.
  • Ability to multi-task, prioritize and manage time effectively.
  • You must have good written and oral English language communication skills.
  • You must wear required personal protective equipment (PPE).
