About the Position

The Management Assistant obtains, interprets, researches, and disseminates confidential investigative information in direct support of the operations for the Professional Standards Bureau. This position uses independent judgment and discretion when making recommendations and providing administrative support to Division Investigators and Command staff to assist with Court Order and Independent Federal Monitor compliance.

Education

  • Associate's degree

Experience

  • Two (2) years of responsible related administrative experience.

OR

Combined education and experience qualifications

  • An equivalent combination of post-secondary education and/or job-related experience may substitute for the required experience on a year-for-year basis.

Other requirements

  • Must possess a valid Arizona driver's license or have the ability to obtain by the time of hire.
  • Training that may be provided on-the-job: FEMA NIMS - IS100 and 700; Safety; Payroll; PREA.
  • Prior to hiring, the Sheriff's Office requires that all candidates pass an extensive background review.

Preferred experience

  • Bachelor's Degree in Social Sciences, Criminal Justice, Public or Business Administration or related field
  • Previous experience within a paramilitary style chain of command.
  • Bilingual in English/Spanish.

Essential Job Tasks

(This is not an all-inclusive list of all job duties that may be required; employees will be required to perform other related duties as assigned.)

  • Tracks, reviews, plans, and coordinates multiple short and long-term tasks and projects to ensure timely completion and accountability.
  • Performs quality assurance of case management to ensure procedural compliance with MCSO policy, Court Orders, and Arizona Revised Statutes.
  • Coordinates and schedules interviews at the direction of investigative staff.
  • Provides support in establishing goals and objectives for staff and tracks progress for Command Staff.
  • Assists with analysis and evaluation of PSB operations and recommends, develops, and implements processes and improvements.
  • Provides responsible and often complex administrative support for PSB personnel.
  • Participates and assists with special projects as needed.
  • Drives to other departments and/or jail facilities to retrieve videos related to investigations.
  • Maintains good attendance to perform assigned tasks as scheduled or assigned by the supervisor.

Knowledge, skills, and abilities:

Knowledge of:

  • Organization, functions, and services of a Sheriff's Office.
  • Research and investigative techniques to produce reports.
  • Intermediate level skills in Microsoft Office applications. Composing written correspondence with proper spelling, grammar, and sentence structure.

Skill in:

  • Performing detailed work with a high degree of accuracy and organization.
  • Analyzing and researching complex information.
  • Problem-solving.
  • Comprehending and interpreting detailed information and directions.

Ability to:

  • Work independently, take initiative, and exercise sound and discretionary judgment.
  • Establish and maintain effective working relationships with all levels of employees and command staff.
  • Prioritize work and set goals to accomplish objectives.
  • Communicate verbally and in writing using appropriate verbiage for the audience.
  • Compose emails, letters, memorandums, and notices using professional and proper formatting.
  • Maintain confidentiality with sensitive information related to law enforcement.
  • Prepare and make engaging oral presentations.

SELECTION PROCEDURE:

The hiring authority will select the successful candidate based on departmental needs.

A background investigation is conducted on a current employee who changes to a Safety Sensitive Position or one having the potential for serious adverse impact on the integrity or efficiency of the County. These requirements do not pertain to employees of elected officials who undergo background investigation processes administered through their respective offices.

Typically, successful candidates are hired at a salary rate, up to midpoint of the range, based on applicable experience, internal equity and budgetary allowances.
