Description

SUMMARY

Provide high-level administrative support to education programs by managing course logistics and coordinating activities for the training centers. The ideal candidate will demonstrate strong judgment across various situations and possess excellent written and verbal communication skills. They should be well-organized, able to manage competing priorities effectively, and have a solid foundation in administrative tasks to support the smooth operation of education programs.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The following duties are essential to the role, with additional responsibilities as needed:

* Manage complex office administration, utilizing independent judgment and initiative to address a variety of tasks.

* Coordinate course logistics including processing class rosters, class results forms, work orders, packing lists, instructor briefing kit orders, and course closeouts.

* Ensure timely ordering and shipping of equipment and consumables in coordination with the Distribution Center.

* Collaborate with other departments to ensure classroom equipment is stocked, up-to-date, and properly set up for each class.

* Oversee instructor logistics, including travel and hotel arrangements, securing lab facilities, and managing food and beverage requirements.

* Serve as the primary communication link to instructors, ensuring they receive accurate briefing packets and are fully informed of course logistics prior to the class.

* Maintain course and customer records in the CRM system, including contract pricing, course setup, packing lists, work orders, and associated correspondence throughout the course process.

* Ensure financial resolution, including the initiation of payments for invoices following course completion.

* Manage inquiries and correspondence related to classes, certification, and training.

* Plan and coordinate meetings, conferences, and project activities, contributing to team efforts to achieve related results.

* Perform general administrative duties, such as answering phones, filing, arranging travel, coordinating special projects, processing mail, developing expense reports, and maintaining supply inventory.

SUPERVISORY RESPONSIBILITIES

No supervisory responsibilities required for this role.

QUALIFICATION REQUIREMENTS

TRAVEL REQUIREMENTS

Less than 15% travel is expected for this role and passport may be required.

EDUCATION and/or EXPERIENCE

* High School Diploma and 3+ years of experience in an office environment is required.

* A Bachelor's Degree is preferred.

LANGUAGE SKILLS

Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, members, employees of the organization, customers, and the general public.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, etc. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. Ability to develop and interpret business graphs.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, verbal, diagram, or schedule form.

OTHER SKILLS and ABILITIES

Must possess a specific level of communication skill both verbal and written. Have demonstrated personnel management skills including, but not limited to, the ability to evaluate staff performance and provide direction, is highly desirable. Ability to work in a multi-task environment taking into account various external factors and to communicate efficiently and accurately to both managers/supervisors and subordinate staff.

Must be computer literate with knowledge and experience in word processing and spreadsheet software. Ability to learn and use association specific software.
