As part of the Events Management team, you will plan and execute internal and external client-facing events, both on-site and off-site, to support business development and firm-wide initiatives. This includes events throughout the Americas and potentially global travel. You will collaborate with the Americas Events team and the Global Events Team to develop and implement best practices for event management.
Duties and Accountabilities1
- Lead the development, implementation, and measurement of best practice approaches in collaboration with stakeholders and internal departments.
- Strategically plan and execute a diverse portfolio of high-impact in-person and virtual events, including:
- Client-facing events
- Networking and social events
- Thought leadership seminars
- Internal engagement events
- Internal training and recruitment programs
- Multiday Meetings
- Global and regional webinars
- Direct the implementation of logistics to achieve event objectives by establishing goals, responsibilities, and budgets in advance. Conduct comprehensive pre- and post-event analysis, including attendance metrics, budget summaries, and feedback.
- Collaborate with the marketing team and other internal departments to ensure stakeholders are regularly updated on event progress. Ensure strict adherence to event budgets and achievement of goals and objectives.
- Ensure the proper storage and management of client contact information in our systems, such as InterAction.
- Manage vendor and supplier relationships in coordination with the Procurement team, ensuring the firm receives the best possible service. Research, source, negotiate, and contract venues and suppliers.
- Utilize in-house resources, including Concierge, Creative Services, and Marketing/Business Development, as preferred suppliers. Oversee the production of event materials.
- Provide guidance and best practices for virtual events, including technology and systems. Build and manage registration sites and mobile applications using the firm's preferred platform, Cvent.
- Establish close affiliation with industry and professional associations and venues to ensure the Firm receives maximum value for receptions, dinners, and external conferences.
- Act as an ambassador of the firm and its core values.
- Support Events Manager with strategic projects, best practice implementation (e.g., hybrid events), and Firm global events.
- Mentor and supervise junior team members with the Events Manager and current Event Specialist.
Qualifications and Skill Set
- Bachelor's Degree, JD qualifications and 5 years in a legal services firm required
- Prepared to work outside the parameters of a 9:30 - 5:30pm wording day as required, including early mornings, evenings and occoasional weekends
- The position may require travel; domestically and internationally as necessary
- Strong knowledge of local vendors and venues
- Committed team player with a 'can do' attitude who demonstrates resourcefulness, initative and collaboration. Ability to work effectively in cross-functional and global teams
- Ability to build strong relationships with internal and external stakeholders
- Client service oriented and credible
- Ability to work independently and in a team dynamic and be able to meet deadlines and perform well under pressure
- Strong project management skills: ability to handle multiple priorities and on an annual basis in a fast-paced environment
- Excellent communications skills, strong organizational, analytical, interpersonal skills required
- Proficient in the Cvent platform
- International experience is a plus
- Strong knowledge of local vendors and venues.
- Ability to build strong relationships with internal and external stakeholders. Client service-oriented and credible.
- Strong negotiation and contract management skills.
- Proficient in using event management software and tools.
- Exceptional attention to detail and organizational abilities. Creative problem-solving and decision-making skills.
- Knowledge of current trends and best practices in event planning and management.
- Ability to manage budgets effectively and ensure cost-efficiency. Proven experience in coordinating logistics for large-scale corporate events.
- Strong presentation skills and the ability to communicate event concepts and plans effectively to stakeholders.
- This role is based in New York.
- This role reports to the Americas Events Manager.
