The Department of Immunobiology invites applications for the position of Administrative Support Assistant III, Finance. This position will be responsible for managing general financial accounting activities to include ledger maintenance and account reconciliations. The Administrative Support Assistant III, Finance produces regular, accurate, and timely financial reports for internal and external reporting and decision-making purposes, and assists in daily routine finance and business tasks related to department operations. They will also provide assistance as requested for various office functions.

Duties & Responsibilities
  • Supports finance and business operations by managing purchase orders, reimbursements, p-card purchases, and financial reports, identifying issues, proposing solutions, and ensuring compliance with established procedures.
  • Supports the Department Administrator and Accountant by providing assistance with complex financial matters, requiring good judgment and initiative.
  • Helps Laboratory Managers with managing orders and other financial tasks, including budgeting and tracking expenses.
  • Provides support to faculty, departments, and other areas within the University on financial matters, ensuring smooth operations.
  • Maintains, organizes, and reconciles accounts in relevant systems, ensuring accuracy and compliance with applicable regulations, such as loan and grant programs.
  • Reviews financial records for accuracy and addresses any discrepancies as needed.
  • Responds to questions and inquiries from faculty, staff, students, and outside agencies about finance and business processes, using knowledge of department and university policies and procedures.
  • Assists others with interpreting and following complex policies and procedures related to finances and business activities.
  • Drafts replies to requests for information or complaints, ensuring clarity and thoroughness.
  • Prioritizes workload, meetings, and appointments to meet work unit operations.
  • Schedules and arranges appointments, meetings, and conferences. Assembles necessary background materials. Makes routine travel reservations and itineraries.
  • Prepares agendas and minutes for various department meetings.
  • Reviews contracts and proposals with knowledge obtained ,prior to submission to require research administration area.
  • Assists in the coordination and implementation of multiple projects.
  • Serves as the initial contact for customers within the department.
  • Receives, directs, and responds to visitors, telephone calls, and written communication.
  • Directs more complex inquiries to appropriate individuals.
  • Maintains office supplies, website, department monitors and email.
  • Assist Program Coordinator with student related tasks.

  • Ability to multi-task several tasks at a time.
Minimum Qualifications
  • High school diploma or high school diploma equivalency is required.
  • Minimum of 5 years of relevant experience, or equivalent combination of education and work experience.
