Bucks County Community College is seeking an Associate Registrar to join our dynamic team. This position will play a critical role in supporting the Registrar's Office with a specific emphasis on curriculum, record management, and supervision of department staff. The Associate Registrar will work collaboratively with academic departments, faculty, and staff to ensure the integrity and accuracy of the college's course catalog, academic records, and curriculum offerings. This position requires a detail-oriented, proactive, and solution-driven individual to contribute to the overall mission of the College by supporting the development, maintenance, and evaluation of the curriculum and student records.

Key Responsibilities:

Curriculum Management:

  • Oversee and manage the development, maintenance, and periodic review of the college's course catalog, including ensuring that all academic programs and courses are properly listed, updated, and aligned with institutional goals.

  • Collaborate with academic departments to ensure course offerings align with degree programs and that all courses meet accreditation standards.

  • Coordinate the approval process for new programs, courses, and modifications to existing curriculum, ensuring that all necessary documentation is properly submitted and tracked.

  • Monitor curricular changes and updates to ensure that all degree audit and advising systems reflect accurate and up-to-date information.

Academic Record Management:

  • Assist with the management of student records and transcripts, ensuring accurate and timely processing of academic information, including registration, grades, degree audits, and course withdrawals.

  • Implement and maintain academic policies regarding grading, course repetition, program substitutions, and other curriculum-related issues in compliance with institutional guidelines.

  • Ensure that academic records comply with federal, state, and institutional regulations, including FERPA.

Collaboration and Communication:

  • Act as a liaison between academic departments and the Registrar's Office, offering guidance and assistance on curriculum-related matters.

  • Work closely with the Office of Academic Affairs, faculty, and department chairs to address curricular needs, including program assessments and updates.

  • Serve as a resource for faculty and staff on curriculum management and registration-related issues, providing training and support as necessary.

Technology and Systems Oversight:

  • Maintain proficiency with the college's student information systems (SIS) and ensure that curriculum data is accurately inputted, updated, and maintained.

  • Collaborate with IT and other departments to improve technological systems that support curriculum management, course registration, grading, and academic record-keeping.

Data Analysis and Reporting:

  • Collect, analyze, and report on curriculum-related data to assist in the evaluation and improvement of academic programs.

  • Prepare reports on enrollment trends, course offerings, curriculum changes, and other metrics to support decision-making processes within the academic administration.

Compliance and Accreditation:

  • Support accreditation efforts by ensuring curriculum-related data is accurate and aligned with accreditation standards and institutional goals.

  • Stay informed about changes in state and federal regulations that impact curriculum and academic records.

Supervision and Leadership:

  • Supervise and provide training and development for staff in the Registrar's Office related to curriculum management and academic records.

  • Assist in developing and implementing office policies and procedures to streamline workflow and improve efficiency in managing academic data.

Salary Range: $65,618 - $80,000 (commensurate with experience)

Minimum Qualifications:

  • Bachelor's degree required. Master's degree in higher education, student affairs, or a related field preferred.

  • A minimum of five (5) years in a supervisory/managerial role

  • At least 3-5 years of experience in a Registrar's Office or similar academic administrative role, with a strong emphasis on curriculum management and academic record-keeping.

Skills, Knowledge, Abilities

  • Confident in corrective and proactive decision making

  • Proven ability to lead and develop staff

  • Strong knowledge of curriculum development processes, academic policies, and degree requirements.

  • Familiarity with student information systems (SIS), data management, and academic reporting tools.

  • Excellent organizational, communication, and interpersonal skills.

  • Ability to analyze complex data, generate reports, and present findings to various stakeholders.

  • Detail-oriented with a strong commitment to accuracy and compliance.

  • Ability to work independently and as part of a team in a fast-paced environment.
