Vaco is seeking a Grant Accountant for a well-known non-profit. This person can sit fully remote. Ideal candidate will come with heavy grant processing.

Position Summary
Seeking an experienced and detail-oriented Accountant to manage and oversee the financial operations of the organization. This position is critical in maintaining financial integrity, supporting grant management, and contributing to the organization's budgeting, auditing, and overall operational success. The Accountant will work closely with the CFO and other departments to ensure accuracy, compliance, and alignment with organizational goals.
Essential Duties and Responsibilities
Accounts Payable and Receivable
  • Verify and process payments to vendors, ensuring charges are assigned to appropriate accounts.
  • Manage the vendor purchasing and invoicing system.
  • Issue checks to vendors and process scholarship requests.
Reconciliation and Financial Reporting
  • Reconcile bank accounts monthly, verify deposits, and address inquiries with financial institutions.
  • Reconcile and maintain all balance sheet accounts, including investment and corporate credit card accounts.
  • Collaborate with the Development team to reconcile accounts in Raisers Edge, including grants and donations.
  • Prepare journal entries and assist with monthly closings and preparation of financial statements.
Grant Management
  • Process monthly billing for public grants, including federal, state, and local reimbursements totaling $1.5M annually.
  • Track staff time allocations for grants and generate biweekly grant allocation reports.
  • Assist with grant budgets and monitoring processes.
Budgeting and Auditing
  • Assist in the development and management of the annual organizational budget.
  • Prepare audit schedules, provide supporting documentation, and support external auditors during annual audits.
Fixed Assets and Tax Compliance
  • Maintain and update the fixed asset schedule.
  • Prepare, review, and distribute year-end 1099 forms to contractors and entities.
Bank Liaison and Cash Flow Management
  • Act as a liaison with financial institutions for positive pay, ACH, and wire payment issues.
  • Monitor and resolve discrepancies related to fees, returned checks, and other bank issues.
  • Ensure daily deposits and maintain healthy cash flow by advising the CFO on funding needs.
Other Responsibilities
  • Research and interpret financial data to answer accounting and financial questions.
  • Protect organizational value by maintaining confidentiality.
  • Support major organizational events and leadership transitions.
  • Perform other duties as assigned by the CFO.
Qualifications and Skills
  • At least 3 years of accounting experience, preferably in a non-profit organization.
  • Strong knowledge of GAAP, FASB standards, and Sarbanes-Oxley compliance.
  • Proficiency in QuickBooks, Raisers Edge, and advanced Microsoft Excel.
  • Exceptional organizational skills and attention to detail in a fast-paced environment.
  • Analytical and problem-solving abilities with strong interpersonal and communication skills.

Work Environment and Physical Requirements
  • Office-based environment with occasional responsibilities at event venues.
  • Ability to remain stationary for extended periods and operate standard office equipment.
  • Flexibility to work after hours for events or deadlines.

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;
  • office location and other geographic considerations;

With that said, as required by local law, Vaco believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure. The individual may also be eligible for discretionary bonuses.
