The Executive Administrative Assistant is a highly visible position responsible for welcoming and greeting community VIPs, students, customers, and visitors to the Brightwater facility. Under the direction of the Brightwater Business Office Mana ger, the Executive Administrative Assistant performs general administrative responsibilities and assists the Executive Director and senior staff in day-to-day tasks. The Executive Administrative Assistant needs to have excellent organizational and customer service skills.
Due to interaction with students, employees, and the college community, this role is located on-campus at the beautiful Brightwater facility. This position is projected to work up to 19 hours per week when scheduled. The work hours can be coordinated with the Business Office Manager.

Essential Duties Administrative

  • Provide direct clerical support for the Brightwater Executive Director.

  • Manage systems and train team members on point of sale and scheduling tools such as Touchnet/Market Place/Square programming inputs for Brightwater merchandise, community classes, and public events.

  • Oversee classroom, conference room, and event space management.

  • Manage the Brightwater organizational email account, ensuring student and public inquiries are addressed or forwarded to the appropriate individuals.

  • Greet students and visitors, assess their needs, and answer or refer questions to appropriate Brightwater staff members.

  • Schedule appointments and consolidate the main campus and Brightwater calendars, ensuring all events, classes, and meetings are recorded.

  • The initial point of contact for Brightwater event, community, and student inquiries, bringing that information to the Events Committee as a sitting member for action.

  • Coordinates with IT, Marketing, Finance, and other NWACC administrative assistants when necessary.

  • Performs any other related duties as required or assigned.

Organizational Support

  • Assist the business office manager in overseeing tasks for the PT Front Desk Administrative Assistant and/or PT Front Desk Work Study.

  • Assist with mass student communications, including job postings, mail chimp notifications, and Brightwater specific student announcements.

  • Assist in maintaining student job board opportunities from local businesses.

Rate of pay: $18.00 per hour with a maximum of 19 hours per week

Knowledge and Skills

  • Office Productivity Software: Proficiency in Microsoft Office tools, including Excel spreadsheets, and ability to learn Mail Chimp, Workday, Touchnet, Market Place, and Square point of sale.

  • Calendar Management: Organizing and coordinating schedules.

  • Document Preparation: Creating presentations and documents.

  • Business Writing: Writing correspondence to potential students, customers, and businesses.

  • Inventory Management: Maintain count of inventory levels of Brightwater sale merchandise.

  • Organization: Know how to organize incoming communications to ensure prompt responses and follow-up if necessary.

The work environment typically consists of a professional office setting with a moderate noise level, including sounds from conversations, office equipment, and occasional movement of staff. Lighting is standard for office spaces, and the temperature is controlled to remain within a comfortable range. Employees may occasionally need to visit other areas, such as storage rooms, conference spaces, or outdoor locations, where environmental conditions may vary.

Infrequently, exposure to louder noise levels or physical activities, such as moving lightweight materials, might be required.

Required Qualifications

  • High School diploma or equivalent.

  • At least Three (3) years of administrative assistant experience.

  • Must have excellent written, oral, and interpersonal communication skills.

  • Demonstrated proficiency in Microsoft tools and calendar management.

Preferred Qualifications/ but not required

  • Associate's degree or higher.

  • Previous experience as an executive administrative assistant.

  • Strong written communication skills and ability to communicate effectively over the phone.
