The WVU Extension Service (WVUES) is seeking applications for a Secretary position.

About the Opportunity

This position headquartered in Elizabeth, WV provides administrative secretarial support in the Wirt County Extension Office for the Programs of the WVU Extension Service.

What you'll do:



  • Greet visitors when they come to the office area, determine nature of visit and direct visitor to the appropriate staff member.
  • Answer telephone, screen calls and clearly communicate messages to faculty and staff by determining the nature of the call and respond to general inquiries, including dissemination of general information including program procedure and policy information.
  • Oversee maintenance of office machines and equipment, troubleshoot issues as necessary, repair issues if possible, consult CPC if repair is necessary and supervise necessary repair or other solution.
  • Maintain confidential volunteer files for vetting and request appropriate background checks or trainings as needed, maintain 4-H club enrollments.
  • Assess daily and weekly tasks list and delegate tasks to volunteers, or student workers as available.
  • Utilize database programs specific agent needs such as ZSuite (4-H), Access (ANR), etc.
  • Maintain supply of readily available soil test kits and provide standard information clients interested in soil testing, direct them to ANR agent for more information specific to their individualized test.
  • Maintain, review and update records and files FCD, ANR and 4YD agent.
  • Monitor program materials and supplies for agents and order if necessary.
  • Support Family Nutrition Program paraprofessional needs.
  • Contact community supporters and volunteers for Extension programs as needed.
  • Troubleshoot and handle critical system problems as necessary.
  • Advise agents on office budgetary matters such as current balance of each account and projected yearly expenses.
  • Submit bills and credit card statements to County Commission.
  • Document bank statements for all Extension-related groups.
  • Handle payments for all 4-H related activities.
  • Stay current on software and applications related to Extension programs.


Pay Grade:

Work Hours: 15 hours per week

Qualifications

  • High school diploma or GED.
  • A minimum of six (6) months of experience in providing administrative support in an office setting.
  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment.


Knowledge, Skills and Abilities



  • Ability to plan and maintain a budget.
  • Basic mathematical skills/capabilities.
  • Ability to operate and troubleshoot standard office equipment.
  • Ability to balance monthly budget reports and keep accurate, timely records.
  • Ability to market and promote Extension programs to local constituents.
  • Ability to learn the policies and procedures of the program centers, WVU Extension Service, WVU, state auditor's office, and the Mercer County Commission and Mercer County Board of Education.
  • Ability to function well in a fast-paced environment evolving environment and take initiative to look for solutions.
  • Ability to assess current situations, determine the best course of action, monitor for needed changes and ask for assistance if needed.
  • Ability to examine workload and delegate to volunteers and Mountaineer temp if available, monitoring their progress and assisting if needed.
  • Ability to trouble shoot technology and equipment and willingness to seek help if needed.
