The School of Nursing at West Virginia University is currently accepting applications for an Administrative Associate position.

About the Opportunity

This position will provide support and assistance to the WVU School of Nursing staff and faculty. In addition, this position will support in various opportunities the needs of the WVU STEPS simulation center. Work independently in various aspects of the School, take initiative to coordinate projects when situations arise and interact regularly with administrators, senior leadership, Deans, Directors, Chairs, Faculty, staff, students and the general public This position will also assist in coordinating and completing various projects and initiatives related to the achievement of the WVU School of Nursing goals and objectives.

What You'll Do



  • Provides administrative support to the School of Nursing for varied administrative tasks to coordinate both daily and long-term activities and operationalize projects related to SON activities. Assist with projects of varying size, scope and complexity as assigned.
  • Assists in the day-to-day operations of the School of Nursing.
  • Assist with all mailings and mass emails from the School of Nursing.
  • Assist and actively participate in all School of Nursing events, to include but not limited to, attendance, registration, set-up/tear-down, organizing and planning.
  • Responsible for managing records with the SON, including correspondence, manual and electronic filing structure.
  • Contribute to the preparation of reports, briefings, presentations, and responses on institutional and strategic issues as appropriate.
  • Maintain and update all lists and databases within the SON as assigned.
  • Reconciles all State P-Card and WVUF card expenses and creates invoice that need to be paid.
  • Responsibility to assign student lockers and maintain locker list of 600 lockers.
  • Participates/Assists in School of Nursing programs (Pledge, Pinning, Kandzari/Jenab Graduation, Graduation) when necessary.
  • Maintains the electronic procedural manual for use by faculty and staff.
  • Collaborates with all University and SON offices to complete day-to-day work.
  • Keep projects on track by completing key project tasks in an accurate and timely manner.
  • Assist students in Clinical Practice Skills Lab practice time through assessing students' needs and distributing appropriate equipment/supplies for skill being practiced.
  • Facilitates set up and clean-up of Clinical Practice Skills Lab for teaching, practice and testing.
  • Provide training of e-procurement tools such as MyExpenses, myTravel and Mountaineer Marketplace to program assistants and program managers, ensuring compliance with Federal, State, WVU and SON policies and procedures.
  • Manage and schedule Clinical Practice Skills Lab calendar for all events including coordination of various scheduling needs from multiple parties/groups within the Health Science Center.
  • Assesses inventory need to maintain proper levels of all supplies needed and used for Clinical Practice Skills Lab.
  • Provides training and guidance to work study students.
  • Assists with and conduct tours of Clinical Practice Skills Lab and WV STEPS.
  • Trains and demonstrates to School of Nursing faculty proper use of SAM (Student Auscultation Manikin), Harvey (heart/lung sound simulator), IV arms and Chester Chest for PICC line and Central line training.
  • Serves as a source of information in explaining departmental procedures to visitors, other staff and students.


Pay Grade: 14



Qualifications

  • Associate's degree in a business or related filed.
  • A minimum of two (2) years of experience involving:

    • Work experience requiring above average communications skills
    • Excellent customer service skills
    • Progressively responsible work experience that demonstrates ability to handle a variety of work assignments within a complex organization.


  • Any equivalent combination of related education and/or experience will be considered.
  • All qualifications must be met by the time of employment.
