Job Summary:
This is an Executive Administrative Assistant role at a leading innovator in the automotive industry, dedicated to producing high-quality vehicles and driving technological advancements. The Executive Administrative Assistant III acts as a critical support system for the senior executives, ensuring seamless operations and maximizing their effectiveness. This role requires exceptional organizational skills, discretion, and the ability to manage complex tasks in a fast-paced environment. The ideal candidate will be a proactive problem-solver, a skilled communicator, and a trusted partner to senior leadership.
Key Responsibilities:
Executive Support & Prioritization:
* Provide comprehensive administrative support to executives, including calendar management, email correspondence, and meeting coordination.
* Proactively manage and prioritize executive schedules, identifying and resolving potential conflicts.
* Ensure alignment of executive activities with business priorities and strategic goals.
Stakeholder & Relationship Management:
* Serve as the primary point of contact between executives, internal departments, and external partners.
* Facilitate effective communication and collaboration with key stakeholders, including executives at external partner organizations.
* Represent executives in meetings, follow up on action items, and build strong relationships with internal and external contacts.
Travel Coordination:
* Plan and coordinate complex domestic and international travel arrangements, including flights, accommodations, and ground transportation.
* Manage last-minute travel changes and ensure seamless logistical arrangements.
Decision-Making & Problem-Solving:
* Exercise independent judgment to handle critical and sensitive matters, escalating issues as necessary.
* Manage competing priorities, filter incoming requests, and make informed decisions to optimize executive productivity.
* Draft and refine communications on behalf of executives, and independently reschedule meetings based on knowledge of executive priorities.
Meeting Management & Executive Reporting:
* Manage all aspects of meeting preparation, including agenda creation, logistics, and material distribution.
* Ensure key stakeholders are briefed on meeting priorities and that follow-up actions are completed.
* Compile, analyze, and synthesize data to create executive reports, presentations, and decision-making insights.
Administrative Operations & Compliance:
* Oversee budgeting, asset control, record retention, and compliance with company policies.
* Utilize technology and tools to automate workflows and improve business processes.
* Process expense reports on behalf of executives, ensuring accuracy and adherence to company policies, and advise executives on budget variance.
Confidentiality & Crisis Management:
* Maintain strict confidentiality of sensitive information.
* Anticipate potential issues and develop contingency plans to minimize disruptions in high-pressure situations.
Qualifications:
* Associate's degree or equivalent experience.
* Minimum 5+ years of experience providing administrative support to senior executives.
* Japanese bilingual proficiency (required).
* Strong decision-making abilities and independent judgment.
* Exceptional written and verbal communication skills.
* Highly organized with strong planning, problem-solving, and interpersonal skills.
* Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams).
* Strong attention to detail, accuracy, and consistency.
* Ability to handle high-level, sensitive communications within and outside the organization.
* Strong team player.

The base pay range above represents the low and high end of the base compensation range we reasonably expect to pay for this position. Actual base compensation will vary and may be above or below the range based on various factors including, but not limited to, geographic location, actual experience, and job performance.
