Job Summary This role is responsible for providing high-level administrative support to the Executive Team and Board of Directors, acting as a liaison with the Family Shareholders, and providing general administrative support for other functional teams while ensuring alignment with Graniterock's Family Vision, Core Purpose, Core Values, Strategic priorities, and business objectives. Essential Job Accountabilities
- Safety Before All Else: Uphold and advocate for every task and interaction, including Corporate Office Safety Team participation.
- Executive Support: Confidentially and efficiently manage administrative tasks for the Executive Team as needed. Act as the responsible party for executive documents and gathering of required signatures.
- Board of Directors Support: Provide administrative support and logistical assistance the BOD and Shareholders, including distribution of materials, uploading board packet attachments, travel, expenses, payments and other arrangements.
- Family Liaison: Act as the primary conduit of communication from the Family and Shareholders. Answer questions, address issues, provide updates on events and communicate Family events around the company. Facilitate the family's participation in and from events by helping to provide the context of the event and relevant team members who will be in attendance for them to engage productively.
- Event planning: Manage Graniterock calendar. Coordinate BOD and Executive Team meetings and events (onsite and offsite), including booking sites/conference rooms, ordering meals, hotels, travel, etc.
- Other Administrative Support: Support other functional operations teams at the Corporate office as assigned by Executive Team. Provide backup support to reception desk as needed.
- After-Hours Availability: Respond to requests from Executive Team and Board members during evenings and weekends to ensure business continuity.
- Notary Services: Provide Notary Public services to support business needs.
Education and Work Experience
- 5+ years in an administrative support role; Board of Directors or Leadership Team engagement experience required
- 3 years of business operations support preferred
- Notary Public certification required (or the ability to acquire within 90 days on the job)

- Must be able to handle sensitive material and exercise a high level of discretion in handling confidential/proprietary information.
- Demonstrated ability to use independent judgement, anticipate need and solve problems; strong decision making, critical thinking and analysis skills.
- Must have knowledge of commonly used administrative and office concepts, practices, and procedures.
- Demonstrated strong organizational, time management, and interpersonal skills
- Demonstrated ability to communicate effectively and influence others.
- Expert user knowledge with all MS Office products (Word, Excel, PowerPoint, etc.)
- Strong written and oral communication skills to effectively disseminate information with all levels of the organization.
