Description

Brown and Caldwell has an exciting opportunity for a full time, in-office Project Coordinator to join our growing professional engineering and environmental consulting office. We are seeking a positive, self-motivated person who enjoys multi-tasking and learning on the job. Our ideal candidate will proactively partner with a high performing program team to manage, coordinate, and execute project tasks from start to finish, while closely working with our project team. This position will provide a variety of project support, and clerical and administrative functions as outlined below.

Detailed Description:



  • Work within a program team to assist with the implementation of a large, complex construction programs at a water resource recovery facility located in Alexandria, Virgina.
  • Establish and maintain effective working relationships with stakeholders, including the project team, subconsultants, contractors, and the client.
  • Coordinate and manage supply orders for the client office, including office supplies, various client requests, and program needs. (ex. PPE, site signage, printed deliverables, etc.).
  • Assist with daily project needs as assigned by the Client, project manager and program staff.
  • Assist and support document management processing associated with large construction projects, including submittals, request for information, and construction related documentation.
  • Coordinate with partners, clients and other program team members to set up program meetings, coordinate with other project and administrate staff to reserve conference rooms, set up projectors, attend meetings, and take meeting minutes.
  • Inform managers of important information, decisions, and deadlines throughout the day; Anticipate and manage related necessary organizational adjustments, preparing managers to successfully plan and execute their daily tasks and work.
  • Prepare and review presentations for meetings, workshops, and community events.
  • Compile and process expense reports for Program related charges.
  • Assist in the onboarding process of new Program team members.
  • Assist in the management of interns and their program related tasks.
  • Participate and assist in the execution of major stakeholder events associated with the program.
  • Update and maintain the Program's Resource Site and Program's Document Library.
  • Contribute to internal and external controls documentation and monitoring.
  • Transcribe, type, format, produce, proofread, and edit wide range of complex documents including correspondence, meeting minutes, reports, memos, contracts, project descriptions, and other miscellaneous documents to meet all project and proposal objectives.
  • Work under tight deadlines and manage multiple assignments, prioritizing as deadlines and needs change
  • Assist in the management, tracking, and reporting on the status of documents (e.g. correspondence, daily reports, shop drawings, etc.).
  • Project Closeout: Collect materials for the project file, coordinate archiving of project with administrative staff
  • Other duties as assigned.


Desired Skills and Experience:



  • Bachelor's degree in Business Administration or similar field preferred
  • Experience in project management/coordination in the Architecture and Engineering (A&E) and construction industry preferred.
  • It is critical for the candidate to be a strong, approachable communicator, be detail-oriented and organized, and be able to influence others to accomplish objectives in this role.
  • Experience in the program management field and financial reporting.
  • Candidate should be highly proficient in Microsoft Word, Excel, and Outlook; PowerPoint, MS Project, SharePoint, and Access skills are a plus.
  • Must be proactive, self-motivated, able to multi-task, prioritize, work both independently and in a team environment, and under deadline pressures.
  • Candidate should be comfortable working directly with technical staff.
  • Good communication skills (written and verbal) are essential.
  • Candidate should be willing to work occasional over-time.
  • Valid driver's license and good driving record.
  • Technical editing/writing experience.


Salary Range: The anticipated starting pay range for this position is based on the employee's primary work location and may be more or less depending upon skills, experience, and education. These ranges may be modified in the future.

Location B: $22.40 - $30.80
