Description

We are seeking a detail-oriented and organized individual to serve as a Part-Time, non-benefitted Recording Secretary for our Land Use Board and Commissions. The ideal candidate will be responsible for accurately documenting meeting minutes, maintaining records, and providing administrative support to ensure the smooth operation of various boards and commissions. This role is crucial in facilitating effective communication and transparency within the community regarding land use decisions.
Performs routine secretarial duties; attends evening meetings and one morning meeting, takes notes, operates recording equipment and computers to prepare minutes or verbatim transcription, letters, reports, or other recorded data heard through earphones of transcribing machine or tape recorder. May occasionally be required to work day time hours.

Work Schedule:
This is a part-time position with flexible hours, primarily scheduled around regular board and commission meetings (typically held in the evenings). Additional hours may be required for preparation and administrative tasks.


Essential Job Functions :

  • Attend Land Use Board and Commission meetings, recording accurate and detailed minutes of discussions, decisions, and actions taken.
  • Prepare and distribute meeting agendas, minutes, and related materials to board members and other stakeholders prior to meetings.
  • Maintain organized records of all meeting minutes, agendas, resolutions, and other pertinent documents, ensuring compliance with legal requirements.
  • Assists in the preparation and distribution of public notices and other communications related to land use activities.
  • Ensures timely filing and retrieval of documents in accordance with established policies and procedures.
  • Supports the planning and coordination of special meetings, public hearings, and other events as needed.
  • Performs other administrative tasks as assigned to support the functions of the Land Use Board and Commissions.
Other Functions:
  • Performs similar or related work as required, directed or as situation dictates.
  • Assists other department staff as needed to promote a team effort to serve the public.


Minimum Qualifications

High school diploma or equivalent with three (3) years' experience performing a variety of administrative support duties; or an Associate's degree and one (1) years' experience in administrative support, public administration, or a related field is preferred. Previous experience in a secretarial or administrative role, preferably in a government or municipal setting.

Examinations may include written, oral, physical, or performance tests or any combination of the various types of examinations.
