Position Purpose |
To provide administrative support to the Director and officers of Lifelong Learning in the planning and execution of educational programs and events designed to engage alumni, family, and friends of Dartmouth. Programs and events include alumni travel, Dartmouth on Location, and other Dartmouth events. |

* Three years of event management experience
* Strong organizational skills, including ability to prioritize multiple projects and work independently
* Strong writing and proofreading skills.
* Proficiency in the use of Microsoft Word, Excel, PowerPoint, and Outlook; database management software; comfort with learning new software as needed
* High level of initiative and attention to detail, with ability to maintain flexibility in a changing work environment
* Strong interpersonal and communication skills, demonstrated ability to collaborate
* Good judgment and ability to interact with a diverse group of people internal and external to Dartmouth College
* Strong problem-solving skills with the ability to take risks in resolving challenges in a complex work environment.
* Strong team orientation with a commitment to professionalism
* Ability to respond to pressures, deadlines, and changes in priorities/schedules |
Preferred Qualifications |
* Bachelor's degree.
* Familiarity with computer networks and systems (e.g. Advance, iModules, Qualtrics).
* Familiarity with Dartmouth a plus. |

Description |
Assists departmental colleagues in implementing and supporting all Lifelong Learning programs designed which are specifically to engage alumni, family, and friends of Dartmouth. Assists in the planning and execution of communications campaigns including developing communications strategies (for emails/social media/website), creating content, formulating mailing lists, formatting layouts, scheduling coordinated release of messages, post-mailing actions, and database analyses. Coordinates and gathers information for various meetings, including faculty briefing meetings. Coordinates travel agendas and other trip briefing materials. Executes operational aspects of Lifelong Learning events, alumni travel, and other engagement activities. |

Description |
For alumni travel, coordinates traveler registration and cancellation, mailings, marketing invoicing, ordering and receiving of travel operator materials, and other related aspects of alumni travel. Maintains alumni travel database with accuracy in detail, including trip assignment of travelers and faculty, creating and updating traveler profiles, updating faculty biographies, and updating of marketing, commission, and expense information. Maintains alumni travel website with current trip descriptions and photos. Maintains inventory of traveler items, including traveler gifts and insurance brochures. Provides timely and accurate information as a first point of contact for the Lifelong Learning team. Conducts post-trip surveys. Provides traveler and other Lifelong Learning program customer support for reservation requests, program questions, and other customer satisfaction issues via email and phone. Elevates and escalates issues to Lifelong Learning colleagues as needed. |

Description |
Participates in the daily operations of Lifelong Learning while working both independently and as a part of multiple teams. Prepares a variety of materials and correspondences at the direction of the Director. Coordinates meeting and travel logistics. Tracks and reconciles budgets; deposits commissions and insurance payments; processes vendor invoices and faculty expense reimbursements; and processes payroll and honorariums associated with travel and lifelong learning events. Recruits and manages student workers. Using departmental and divisional system(s) of record, gathers and performs data entry, and extracts data to produce reports. |

Description |
Collaborates with other colleagues within Alumni Relations, provides administrative support to events that increase alumni engagement, including scheduling, facility reservation, presentation support, communications, travel, marketing, and mailings. Works closely with the Lifelong Learning team, coordinates and executes annual faculty appreciation reception. Attends Lifelong Learning events as needed. Effectively and professionally represents Lifelong Learning, Alumni Relations, and the College in communications with a range of institutional colleagues and teams, alumni, volunteers, and vendors. |
