Role: Workday Payroll Specialist /Solution Architect

Duration: 5 months to start ( Potential for extension)

Location: 100% Remote ( Must be comfortable to work in CST and MST time zones)

Please ensure candidates have payroll experience.

Role Overview:

  • Position: Solutions Architect - Payroll support role to augment the team.
  • Key Requirements:

    • Workday Payroll Certification (specifically US payroll).
    • Support payroll system enhancements, testing, and releases.
    • Tasks include troubleshooting payroll issues, local tax setup, recommending changes, implementing configurations, and documenting procedures.
    • Work on Workday releases (twice annually), understanding new features, answering payroll team's questions, and assisting with testing.
    • Troubleshoot EIB (Enterprise Interface Builder) issues, particularly related to payroll processes.
    • Work on business process changes, security, and integration with comp/HR teams, specifically focusing on US payroll.
    • Strict documentation is required, including status updates, requirements, test scripts, and formal sign-offs for audits.





2. Key Skills and Experience:

  • Technical Skills:

    • Workday Payroll expertise.
    • Familiarity with EIBs and reporting (especially for troubleshooting and generating data for testing).
    • Experience with US tax regulations and systems like ADP.
    • Familiarity with Fidelity (stock dividends and taxation).
    • Experience with FLSA (Fair Labor Standards Act) and advanced compensation processes.


  • Tools:

    • ServiceNow for project requests, resource tracking, and incidents (IT/HR).
    • Microsoft Teams for project management and communication.
    • Microsoft SharePoint for documentation storage.
    • ADP API integration for US tax payments.





3. Team Structure and Current Challenges:

  • Current Team Makeup:

    • Global support across functions.
    • The team is understaffed due to recent staff departures and absences (one team member is on leave).
    • Contractors are helping to fill gaps, but there's a need for a permanent resource.
    • Staff typically has a primary area of expertise, with a backup.


  • Business Environment:

    • Highly regulated (especially in financial services and APAC regions).
    • Documentation and formal sign-offs are required for all processes.
    • All tasks must align with audit controls and project tickets for tracking.





4. Integration and Third-Party Tools:

  • Integrations:

    • Inbound and outbound pay inputs from third-party systems like Fidelity, Health Equity, and Blue Cross.
    • Integration with ADP for US tax payments.


  • Systems:

    • ServiceNow for project and IT incident management.
    • Microsoft Teams and SharePoint for communication and documentation storage.





5. Location and Working Arrangements:

  • Hybrid Work Model:

    • Preference for a candidate based in Chicago (but open to remote work).
    • The payroll team is split between Arizona and Chicago; a remote candidate is acceptable as long as they can align with Chicago and Arizona time zones (work hours are expected to be 9 am - 5 pm for maximum team overlap).





6. Immediate Priorities:

  • Compensation Cycle (2023-2024):

    • Some enhancements and pain points are expected to be addressed by the candidate, although most of the heavy lifting will fall to the compensation architects.
    • An understanding of advanced compensation and related processes (FLSA) is a bonus.





7. Final Notes and Expectations:

  • Documentation and Audit Requirements:

    • Everything needs to be documented for audit purposes.
    • Weekly status updates, testing documentation, and business sign-offs are mandatory.


  • Team Dynamics:

    • Strong communication skills are essential due to the structured and regulated work environment.
    • Team members must be comfortable with detailed documentation and formal sign-offs.
