Position Summary:

The Export Document Specialist I is an entry-level role focused on basic export documentation tasks and administrative support, documentation and accuracy of export shipments in compliance with U.S export regulations, NFA, and other regulations; and company policy. The Export Document Specialist I reviews export orders for accuracy and needed licenses/permits prior to shipment and provides documentation across all locations. This role typically requires 0-1 previous related experience in the field directly and performs a variety of tasks under general supervision, has strong attention to detail and problem-solving skills, understands export documentation including ACE, and is familiar with State and Commerce licenses, and ATF Forms; firearms shipments experience preferred. The Export Document Specialist I must have the ability to work well independently as well as part of a team and will collaborate with all internal team members and across various departments such as the warehouse, Sales, Compliance teams, and freight forwarders.

Job Duties and Responsibilities:



  • Prepare and verify basic export documents including commercial invoices, packing lists, etc.
  • Assist with data entry and record-keeping related to export operations.
  • Maintain accurate filing systems for export documentation.
  • Coordinate with internal departments (e.g., Sales, Shipping, etc.) to gather necessary information for export shipments.
  • Monitor and track export shipments to ensure timely delivery.
  • Travel less than 5% (domestic trade shows, vendors).
  • Review documents for regulatory adherence.
  • Communicate effectively to Supervisor regarding problems.
  • Engage in Continuous Improvement projects and tasks.
  • Participate in and sustain 5S Standards.
  • Must follow all required Safety and ISO procedures.
  • Miscellaneous duties as assigned.


Education/Experience & Skills:



  • High school diploma or equivalent required; or related experience and/or training; or equivalent combination of education and experience. Typically requires 0-1 years of experience.
  • Firearms shipments experience and HAZMAT trained preferred.
  • Able to stay current on export customs regulations, documentation requirements, internal SOP's, and ACE regulations.
  • Microsoft Office (Excel, Word, Outlook) experience required, and Oracle experience preferred.
  • Ability to work well independently as well as part of a team.
  • Complete assigned tasks on time. Adhere to break times and daily shift.
  • Must be able to clearly, concisely, and accurately convey ideas and information to others, in English, both verbally and in written form.


Working Conditions:



  • Prolonged periods of sitting at a desk and working at a computer using a keyboard and mouse performing repetitive tasks.
  • Ability to open file cabinets, reach with hands and arms, bend, and twist, lift and move files.
  • Ability to lift up to 25 pounds.
  • Must wear required Personal Protective Equipment (PPE) where required.
  • Must comply with all work exposure EH&S training requirements and adhere to SIG SAUER Inc. Security Mandates.
