Position Purpose
With guidance from the Associate Director, coordinates onsite event setup details, communicates with event support teams, manages facility/event support inventory, and supports the department in day-to-day facilities operations in accordance with Tuck's mission, strategy, and institutional priorities.

Required Qualifications - Skills, Knowledge and Abilities

  • Experience and skill in managing event setups with attention to detail and a high degree of customer service focus.
  • Familiarity with work order management systems and Microsoft Office software.
  • Strong communication and interpersonal skills.
  • Basic knowledge of facilities infrastructure
  • Able to anticipate, deliver on, and exceed the expectations of students, faculty, and staff colleagues.
  • Able to collaborate effectively with Tuck and Dartmouth colleagues to complete shared tasks and projects.
  • Able to support, contribute to, and strengthen a vibrant, culturally diverse, and inclusive learning community of students, alumni, faculty, and fellow professionals.
  • Ability to lift up to 25-30 pounds as needed.
  • Availability to adjust schedule for occasional evening and weekend work as needed.

Preferred Qualifications
  • Experience working on a residential college campus.

Key Accountabilities


Description
1. Event Setup Coordination:

  • Partner with Events Operations Manager and event planners to review and determine setup options and finalize specific setup details.
  • Coordinate with Tuck Dining Service (Byrne) catering team on setup needs.
  • Review detailed work orders created by Events Operations Manager to ensure everything is addressed and can be delivered successfully.
  • Communicate event specifications, staffing needs, and instructions to support staff .
  • Monitor event setup process to ensure all tasks and details have been addressed appropriately.

Description
2. Facilities Operations:

  • Work closely with the operations team on monitoring and addressing facility conditions. Seeks out and identifies campus aesthetic deficiencies (e.g., failed light bulbs, carpet stains, or other repair items) and addresses deficiencies by submitting work orders or otherwise assigning to facilities staff.
  • Routinely inspect residential life areas for issues related to compliance, safety, and security.
  • Manage non-technical residential life issues, requests, and program support. Addresses broken items (furniture, appliances) and responds to special requests (fans, heaters). May include delivering items to rooms if support staff is not available.
  • Manages inventory for events and classrooms (tables, chairs, display boards, linens, etc.), and works with operations and trades support teams to manage office support inventory (desks, chairs, lamps, etc.), ensuring inventory quality and quantity remain at required levels.
  • Organizes and maintains various facility storage areas.

3. Custodial Services Communication:

  • Serves as primary liaison with Dartmouth Campus Services custodial services team and custodial supervisors and squad leaders for daily services.
  • Monitor staffing coverage and inform the operations teams of shortages so priorities can be discussed and critical items (e.g., door unlocks) don't get missed.
  • Monitor bi-weekly residential bathroom cleanings. Document opt-outs, issues, and other items to ensure they are properly and promptly addressed.
  • Closely communicate with custodial services management on process, procedure, and product/equipment inventory to ensure efficiencies and alignment with institutional priorities.

4. Team Support, Development, and Innovation:

  • Contributes ideas, input, and support to the development and updating of policies and procedures.
  • Assists facilities and events team as needed during peak times, including in the coordination of office moves, student housing move-in/move-out, and residential summer programs.
  • Co-manages or assists with special projects and large annual events.
