JOB SUMMARY The Accountant I position will provide financial and administrative support for the Department of Dermatology. This role ensures accurate financial processing, reconciliation, and reporting while maintaining compliance with institutional and funding policies. Key responsibilities include managing PeopleSoft and Procurement Portal transactions, processing journal entries, reconciling OneCard transactions, assisting with expense exceptions, and analyzing accounting data for planning and reporting purposes. This position requires strong analytical and problem-solving skills with attention to detail, proficiency in Microsoft Excel and Word, ability to apply mathematical reasoning to analyze data and identify discrepancies, sound judgement in applying and interpreting policies, procedures, and accounting principles. EXPERIENCE AND EDUCATION Required
- Education
Bachelor's Degree with no experience; or Associate's Degree or High School Diploma Or equivalent
- Experience
No experience with Bachelor's Degree or 2 years Of accounting related experience with Associate's Degree or 4 years Of experience in governmental and/or commercial accounting or auditing with High School Diploma
PRIMARY JOB DUTIES
- Financial Processing & Reconciliation:
- Review and approve department requests submitted through PeopleSoft and the Procurement Portal.
- Manage a OneCard for departmental facility needs, ensuring timely reconciliation of transactions.
- Process vouchers, invoices, requisitions, and purchase orders while verifying vendor details in the Procurement Portal.
- Maintain and reconcile ledger accounts and salary reports o Interface with several departments, i.e. SPA, accounting, cash management, and other departments.
- Process journal entries for corrections, NSCTs (debits/credits), and financial adjustments.
- Research & Grant Compliance:
- Ensure compliance with research/grant subcategory budgets.
- Assist in calculating monthly billings for reimbursement of expenditures related to research and clinical operations.
- Operational & Strategic Support:
- Assist division administrative staff with processing expense exception requests.
- Support the development and implementation of new or revised departmental accounting and operational procedures.
- Perform other duties as assigned.
ADDITIONAL JOB DUTIES
- Posts and maintains ledger accounts.
- Reconciles salary reports, bank statements, and general ledger trial balances.
- Prepares deposit slips and maintains cash control records, basic profit and loss statements, and trial balances of subsidiary ledgers and reconciling discrepancies.
- Calculates unit cost information and monthly billings for reimbursement of expenditures.
- Assists in preparing more complex financial records and operating reports, preparing less complex special reports, and analyzing accounting data for planning estimates and other similar items.
- May assist accounting clerks by clarifying work problems, such as allocation of income and expense, closing, correcting or adjusting journal entries, preparation of special exhibits and schedules, and other similar items.
- Performs other duties as assigned.
