Overview

TRC is seeking an experienced full-time (30 hours/week) Project Coordinator to support our growing Sustainability Business Unit.

TRC's Sustainability Business Unit (SBU) is a vibrant, dynamic, and fast-paced work environment that provides access to a broad spectrum of professional experiences in a company that thrives on teamwork. The business unit has been growing quickly in recent years and is looking for new team members who can materially support this successful business unit.

This new role will be responsible for supporting the Sustainability Business Unit on various administrative functions and supporting the team's Project Analyst.


Responsibilities

  • Work with SBU Project Analysts (PAs) and Project Managers (PMs) to help them on a variety of administrative functions, including but not limited to:
    • Set up projects in Vision with complete project structure.
    • Create vendor Purchase Orders, and complete TRC's New Vendor process.
    • Assist with Subcontractor Agreement preparation.
    • Review contract documents for necessary items. Understanding what documentation is required to turn on revenue and coordinating with project managers to obtain the necessary documentation.
    • Assist PMs with the set up and management of opportunities in Sales Force. Work with PMs to keep data in Sales Force up to date.
    • Support PMs with questions related to TRC's invoice approval software (Sceris) and expense reporting software (Concur).
    • Support the SBU team with Time Record Adjustments in Vision, as needed.
    • Work with PAs and PMs on the Estimate at Completion (EAC) process.
  • Work with PMs on proposals in relation to project structure and invoicing format, and other TRC requirements:
    • Review wording for time and materials vs. fixed price/lump sum.
    • Ensure the proper labor rate sheet is provided for T&M proposals.
    • Ensure the cost amounts are consistent and accurate.
    • Ensure that terms and conditions (T&Cs) are attached.
    • Ensure that the net payment terms match between the T&Cs and proposal.
    • Ensure budget sheets are included for projects >$100k to send to PA's.
    • Review to determine if any additional tax situation is warranted. If warranted, work with the project manager and the PA to ensure project is set up accurately.
  • Word Processing/Report Assistance: Work with PMs to format documents in Word, Excel, PowerPoint, and Adobe (pdf). Proof reading and checking for consistency and putting together Adobe reports.
  • Project Support: Work with PMs for assistance on their project, including (but not limited to): purchase of data, communication with contractors, project data management, report collation, etc.
  • Work with the SBUs Directors as needed to support the team on ad hoc projects.
  • Work with the SBUs Financial Analyst and Accounts Receivable team, as required.

Qualifications

  • High School Diploma. Bachelor's Degree or equivalent experience preferred.
  • Strong project management system (i.e. Deltek Vision) and sales management software (SalesForce) experience.
  • Self-motivated and results oriented, with a positive, "can do" attitude.

Compensation: In accordance with local law, the below salary range is applicable for the job and location associated with this requisition. Compensation will vary based upon experience, education, skill level, geographical location, and other compensable factors.

Other Compensation: Employee may be eligible for participation in the Company's annual Discretionary Bonus Program which is contingent on Company, Business Segment, and Individual performance against Key Performance Indicators which vary by year and employee.

Salary Range

USD $24.00 - USD $31.00 /Hr.
