Sales Operations Specialist : This is where you come in.

As a Sales Operations Specialist, you will play a key role in supporting the Sales Operations Lead to drive sales efficiency and operational alignment within one of three specialized business units - Healthcare, Construction Special Projects, or New Construction. Your focus will be on CRM management, sales support, and ongoing project coordination to ensure the seamless execution of business unit objectives.

We're looking for someone with strong organizational skills, a proactive mindset, and experience in sales operations or project coordination.

Top deliverables in the first year to be a hero:

  • CRM Oversight and Sales Support
    • Oversee CRM updates to ensure accuracy and support seamless reporting and decision-making.
    • Route RFPs to the appropriate stakeholders for review and action.
    • Draft and distribute winning emails to internal and external stakeholders.
    • Prepare and submit expense reports as required.
    • Coordinate memberships and sponsorships, ensuring timely renewals and engagement.
  • Ongoing Project Support
    • Pursuit-to-Project Transition Facilitation - Support the seamless transition of a pursuit to a sold project by ensuring accurate job number routing and proper system updates.
    • Project Setup and Lifecycle Management - Establish and maintain project records for accounting, operations, and sales tracking throughout the project's lifecycle.
  • Proposal and Administrative Coordination
    • Work with the Sales Operations Lead to prepare high-quality proposals aligned with business unit goals and client needs.
    • Generate and format proposals for various contract types (T&M, Sustaining, Lump Sum).
    • Organize and maintain records of sales processes, tools, and resources for easy accessibility by the team.
    • Provide administrative support to streamline daily operations, including scheduling, document preparation, and meeting coordination.
  • Cross-Functional Collaboration
    • Act as a liaison between the business unit and other departments to ensure alignment on shared objectives and streamlined processes.
    • Assist in gathering client feedback and project performance insights to inform sales strategies and future initiatives.
  • Business Unit Director and Sales Operations Lead Support
    • Serve as a key support resource for the Business Unit Director, managing scheduling, communications, and task prioritization to maximize efficiency.
    • Prepare presentation materials, meeting agendas, and key documents for director-level and client-facing engagements.
    • Coordinate travel arrangements, meeting logistics, and event planning for the Director and Sales Operations Lead as needed.

The Sales Operations Specialist reports to Victoria Klyce, Sales Operations Lead, and will be part of a collaborative team driving a variety of projects and initiatives to support our growing business. This high-visibility role offers the opportunity to engage with all levels and functions across the organization.

Compensation: $25/hr to $35/hr
