Harkcon is building a team to provide administrative support to the Defense Counterintelligence and Security Agency (DCSA) in various locations across the country. The people filling these positions will provide critical support to federal staff and will run office operations at their respective location.

**This position is contingent upon contract award**

Job Description: We are seeking a highly organized and detail-oriented Administrative Assistants to join our team. Successful candidates will provide comprehensive administrative support to ensure the smooth office operations and assist government personnel in the execution of various projects and tasks. This role requires excellent communication skills, the ability to multitask, and a proactive approach to problem-solving...all in a fast-paced environment.

This work will be performed 100% on site at the Government location.

Responsibilities:

Administrative and Technical Support:

  • Perform general office support functions, including record and file management, data entry, correspondence management, and office supply maintenance.
  • Assist with employee in-and-out processing, including coordinating travel cards, processing badges and credentials, and maintaining personnel rosters.
  • Provide scheduling and administrative support for regional mission directors, including calendar management, meeting coordination, and travel arrangements.
  • Prepare, format, and review official documents such as reports, memoranda, data summaries, and inter-office communications.
  • Manage and track internal and external office correspondence and ensure timely responses to inquiries.

Program and Records Management:

  • Maintain accurate databases and records related to personnel security investigations.
  • Ensure compliance with established records maintenance and disposition procedures.
  • Track and manage required training completion for personnel and support training coordination.
  • Monitor agency task management systems and track suspense actions to meet deadlines.

Office Coordination & Meeting Support:

  • Serve as the primary point of contact for conference room scheduling, office logistics, and technical support requests.
  • Assist in preparing materials for meetings, conferences, and briefings, including taking and distributing meeting minutes.
  • Coordinate with internal DCSA departments and external agencies to ensure smooth office operations.

Property & Vehicle Management:

  • Assist with tracking and maintaining inventories of office equipment, government-issued property, and vehicles.
  • Act as the liaison for vehicle assignments, maintenance, and reporting of government-owned vehicles.

Travel and Budget Support:

  • Provide administrative support for travel authorization requests, expense reports, and budget projections.
  • Assist personnel with using the Defense Travel System (DTS) and ensure compliance with travel policies.

Qualifications:

  • Active Secret clearance.
  • High school diploma or equivalent.
  • 2+ years of relevant administrative and technical support experience.
  • Superior oral and written communication skills.
  • Proficiency in Microsoft Office Suite.
  • Strong organizational and multitasking abilities.
  • Ability to work independently and as part of a team.
  • Excellent problem-solving skills and attention to detail.

Wage Range listed encompasses all locations. Each location has a different wage scale and no single location spans the entire range listed.
