The Division of Finance and Administration (DFA) is comprised of approximately 900 staff members of diverse functions and 150+ student workers, providing services and support to over 50,000 students, faculty, and staff with the vision to advance UCI's brilliant future, strategic goals, and priorities through leadership in resource management, sustainability, and innovation while fostering a commitment to inclusive excellence. The DFA HR team provides local HR support across DFA reporting into the Office of the CFO and Vice Chancellor. They work closely with campus wide HR colleagues serving as the central contact point for DFA and provides strategic partnership, operational consulting, and support on a variety of people-related activities including recruitment, compensation, leave administration, employee and labor relations, onboarding and offboarding, employee engagement and development, talent management, HR compliance, as well as organizational and team effectiveness.


Your Role on the Team

Applying professional human resources, as well as organization policies and procedures, provides guidance to divisional staff, students, supervisors and managers in response to general inquiries and to resolve a variety of human resources issues of moderate scope and complexity. Responsible for administering HR operational support functions for staff, students, and leaders across the Division of Finance and Administration (DFA), including public safety positions at UCI Health locations. Provides analytical information, tracking, and reports to DFA HR and divisional leaders. Coordinates with centralized Human Resources and Payroll colleagues regarding interpretation, process, compliance and implementation of policies, inquiries, documentation, and in performing a wide variety of HR system transactions. Serves as lead on recruitment, onboarding and offboarding transactions and processes, and assists with both cyclical and ad-hoc activities related to employment, compensation, performance management systems, employee engagement, and various HR initiatives, in addition to effectively maintaining organizational records, charts, and employee files in compliance with policies, practices, and labor regulations.

The expected pay range for this position is $30.56 -$37.35 (Hourly)

Required:

  • Analytical skills to conduct analysis and develop recommendations; demonstrates organizational skills and problem-solving skills. Has working knowledge of other areas of HR.
  • Basic knowledge of human resources policies and programs, and how they affect other organizational policies and procedures.
  • Knowledge of a human resources management system (HRMS, UCPath preferred), and proficiency with other related business software programs and systems such as Microsoft (Excel, Word), Outlook, virtual meetings/chats (Zoom, MicroSoftTeams,). Proficiency with PPT and Visio preferred
  • Proficient in communicating clearly and effectively verbally and in writing with ability to adapt messages to a variety of audience levels and in integrating information in the completion of assignments.
  • Demonstrated ability to handle difficult or volatile situations / individuals effectively, including respectfully communicating difficult messages and knowledge of protecting confidential information.
  • Ability to organize multiple, high volume of projects and set priorities to effectively meet short timelines and changing needs
  • Accuracy and timeliness in preparation, coordination, administration and maintenance of personnel matters and records
  • Excellent interpersonal skills to establish and maintain cooperative and collaborative working relations with team members, staff, leaders, students, UCI colleagues, and general public
  • Demonstrated skill to independently research information and resources to resolve issues related to policies, practices, and effective processes
  • A minimum of 1 year of experience supporting one or more HR functions

Preferred:

  • Knowledge of organizational policies and procedures and knowledge of general recruiting functional activities and effectively navigating applicant tracking system
  • Knowledge and demonstrated practice of continuous process improvement
  • Knowledge of collective bargaining agreements and applicability to staff to effectively interpret policy and ensure compliance
  • Human Resources Certificate
  • Experience in higher education or public employment preferred

Special Conditions:

  • Ability to work a weekly hybrid schedule both on campus and remote
  • Ability to work outside regular business hours, as needed
